A long-established and highly respected law firm with offices across Kent is looking for a highly organised and detail-oriented File Opening & Compliance Administrator to join their team. This is an excellent opportunity for someone with legal administration or compliance experience who enjoys working in a process-driven role and takes pride in maintaining the highest standards of accuracy and regulatory compliance.
The Role
As File Opening & Compliance Administrator, you will play a vital role in supporting the firm's client onboarding, compliance, file management and archiving processes across their five offices. Working closely with fee earners and support teams, you will ensure new matters are opened accurately, Anti-Money Laundering (AML) and Client Due Diligence (CDD) requirements are met, and files are managed efficiently throughout their lifecycle. This is a varied position requiring excellent organisational skills, strong attention to detail and the ability to manage multiple priorities while maintaining strict confidentiality.
Key Responsibilities
- File Opening & Compliance
- Open new client files and set up matter workflows across all offices.
- Carry out client identification and Anti-Money Laundering (AML) checks in accordance with SRA regulations and firm policies.
- Run and assess electronic ID verification checks using third-party systems.
- Send biometric verification links to clients where required.
- Upload and review identification and Client Due Diligence (CDD) documentation within the firm's case management systems.
- Identify and resolve missing or incomplete compliance documentation.
- Ensure all client matters remain fully compliant with AML regulations.
- File Closure & Archiving
- Prepare completed matters for file closure, ensuring all documentation is in order.
- Liaise with the finance team regarding outstanding client balances.
- Close and archive files using the firm's case management system.
- Prepare files for secure off-site storage and manage retrieval requests when required.
- Wills, Deeds & Lasting Powers of Attorney
- Log and securely store Wills, Deeds and Lasting Powers of Attorney (LPAs).
- Ensure documents are correctly signed, scanned and recorded.
- Maintain accurate storage records and coordinate document retrieval.
- File Destruction
- Identify files eligible for destruction in accordance with retention policies.
- Coordinate the secure destruction of confidential documents.
- Update records and liaise with external shredding providers.
- Training & Support
- Provide support and guidance to colleagues on file opening and Client Due Diligence processes.
- Assist with training staff on compliance procedures and onboarding requirements.
About You

- Experience in legal administration, compliance or file opening (preferred).
- Knowledge of AML and Client Due Diligence (CDD) processes, or a willingness to learn.

- Strong communication skills and the ability to work effectively with colleagues across multiple offices.
