We are recruiting a Personal Assistant. As a member of the PA team, to deliver PA services, including financial administration, to the corporate financial managers, plus the managing director and leader, when their PA is absent.

Responsibility

  • To provide strictly confidential support to the Directors.
  • Working with the finance team, undertake various administrative financial tasks following relevant procedures.
  • Coordinate and organise diary management and schedule meetings linked to planning activities.
  • Monitoring and responding to emails in the directors' absence ensures queries and any resulting issues are dealt with promptly and appropriate action is taken.

Qualification – Essential

  • GCSE Grade (or equivalent) in English Language and Mathematics.
  • Appropriate PA/Secretarial qualifications and/or NVQ level 3 in Admin.
  • Advanced – Microsoft Office, Word, Excel, Outlook, social media, and CRM.

  • Must be able to prioritise a busy workload, and have good written and verbal communication skills.
  • Advanced computer literate with good keyboard skills.
  • Good time management and personal organisation skills.
  • Accuracy and attention to detail.
  • Able to use initiative to respond to problems and unexpected situations.
  • Experience of producing meeting and project documentation.
  • Previous experience as a business support officer is preferred.
  • Able to work in a fast-paced, multi-matrix management team.
  • Able to multi-task and demonstrate a flexible approach to workload management to ensure various administrative tasks are completed in order of priority.
  • Confident with IT applications such as MS Word and MS Excel and the ability to learn and utilise different databases.
  • Provide high-quality, consistent, efficient and effective support services within agreed timescales.
  • Support various operational and business management teams.
  • Provide minute-taking support to various service areas (desirable).
  • Deliver support services that ensure high customer satisfaction.
  • Undertake any other duties commensurate with the level of responsibility of this post.
