Responsibilities

  • Ability to work with and highlight cases to our internal team with GSC.
  • Support with financial topics including: inhouse payment invoices, adding in details and invoicing customers.
  • Supporting with customer queries relating to collection and payment of invoices.
  • Running reports for customs activities including imports, exports, transits etc.
  • General administration tasks through MS email, Word, Excel, and DHL systems.
  • Ability to support with a wide range of task activities, with scope to learn and understand customs processes.
  • Scope for development with the aim of moving into an operational or support roles within DHL business.
  • Business Admin apprenticeship to be completed.
  • Ability to work within a team, skilled in the use of multiple IT packages and systems relevant to the organisation to write letters or emails, create proposals, perform financial processes, record and analyse data (e.g., MS Office or equivalent). Able to choose the most appropriate IT solution to suit the business problem; update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and presents solutions to management. Drafts correspondence, writes reports and reviews others\’ work. Maintains records and files, handles confidential information in compliance with the organisation\’s procedures. Coaches others in the required processes.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and handles challenges maturely, seeking advice from more experienced team members when appropriate.
  • Builds and maintains positive relationships within the team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as area knowledge grows.
  • Demonstrates good communication skills in person, on the phone, in writing or on digital platforms. Uses appropriate channels to communicate effectively. Demonstrates agility and confidence in communications and carries appropriate authority. Understands and applies social media solutions appropriately. Represents the organisation or department when answering questions from inside or outside the organisation.
  • Completes tasks to a high standard. Demonstrates requisite expertise and continuously looks to improve work. Reviews processes autonomously and suggests improvements. Shares administrative best-practice and coaches others. Applies problem-solving skills to resolve challenging or complex issues and acts as a key point of contact for addressing them.
  • Takes responsibility for initiating and completing tasks, manages priorities and time to meet deadlines. Manages expectations of colleagues at all levels and sets a positive example. Suggests improvements to working practices, considering impacts on clients, suppliers and other parts of the organisation. Manages resources and coordinates logistics such as meetings, travel and accommodation.
  • Uses project management principles and tools to scope, plan, monitor and report. Plans required resources and, when required, leads projects.

Apprenticeship and Training

Training schedule: On-the-job training delivered by the employer. Apprentices without Level 2 English and maths will need to achieve this level prior to taking the end point assessment. For those with an education, health and care plan or a legacy statement, the apprenticeship English and mathematics minimum requirement is Entry Level 3. Allocation of an apprenticeship delivery coach who will carry out regular training. Assessment and support visits to ensure you acquire new learning, knowledge, skills and behaviours in order to progress and develop. Identify, track and support 6 hours of off-the-job training activities. Quarterly formal progress review meetings, identifying learning achievements and next steps.

  • GCSEs in English (minimum grade C/4) and Maths (minimum grade C/4).

Location

The role will require working between the main site and the customer site at Pegasus House, Aerospace Ave, Filton, Bristol BS34 7PA, so candidates must be able to travel to both sites.
