A Typical Day May Involve:
- Provide front-desk operational support for drivers, handling queries and daily requirements
- Prepare dispatch materials including route packs, PDAs, fuel cards, keys, and dispatch boxes
- Manage driver briefings and debriefings, ensuring all operational data is accurately captured
- Allocate, track, and maintain operational equipment and resources
- Record and monitor mileage, fuel usage, delays, exceptions, and operational issues
- Maintain accurate handover logs and escalate in-day operational concerns to management
- Ensure driver times, activities, and performance data are recorded and validated accurately
- Support KPI reporting, performance tracking, and preparation for operational reviews and 1:1 meetings
- Maintain daily and weekly dashboards, driver activity logs, and shift documentation
- Support compliance with fleet, productivity, driver availability, and operational KPIs
- Prepare reports, trackers, performance packs, and operational updates for management teams
- Manage email and Teams communications professionally and efficiently
- Maintain compliance documentation including licence checks, defect logs, inspections, and fleet records
- Support yard operations to ensure vehicles and drivers are ready for timely departures
- Conduct basic vehicle and compliance checks, reporting defects and operational issues where required
- Coordinate vehicle movements to and from service providers with accurate documentation
- Carry out PPE, ID, and compliance checks, recording and reporting deviations
- Maintain yard cleanliness, waste management, recycling routines, and hygiene standards
- Support consumables management, cleaning schedules, and operational housekeeping standards
- Ensure adherence to operational procedures, work instructions, and company standards
- Support audits, safety reviews, training compliance, and process documentation activities
- Maintain accurate fleet servicing, maintenance, and VOR records
- Update continuous improvement trackers and monitor progress of operational actions
- Gather and log improvement suggestions from drivers and operational teams
- Identify recurring operational issues and accelerate opportunities for process improvement
This Role Would Suit People Who:
- Previous administration experience with strong organisational and multitasking skills
- Experience working with drivers and operational teams in a fast-paced environment
- Background in transport, logistics, or operational support preferred
- Understanding of fleet operations, defect reporting, or yard processes beneficial (full training provided)
- Full UK Manual Driving Licence held for a minimum of 6 months (essential)
- Strong verbal, written, and face‑to‑face communication skills
- High attention to detail with a strong focus on accuracy and data integrity
- Ability to prioritise workload and perform effectively under pressure
- Competent using Microsoft Office, transport systems, and electronic reporting tools
