DfT Operator Ltd (DFTO) is the public sector owning group behind seven key train operators. We’re here to make your rail journeys smoother, safer, and more reliable. Since taking on LNER in 2018, we have focused on delivering better train services, enhancing customer experiences, and boosting performance across the network. Today, DFTO helps 270 million passenger journeys happen each year, with a team of nearly 17,000 dedicated colleagues. We now manage 25% of Britain’s railway and are committed to shaping the future of train travel to better serve passengers.
We work closely with the DfT but operate independently with our own governance and leadership teams. Our priority is ensuring efficient, dependable rail services for everyone.
Vacancy Details
- Duration: 2 Year FTC
- Location: Waterloo, London
- Salary: up to £32,000

- Reporting to: Business Manager, supervised by the Board Governance Coordinator.
Primary Purpose of Job
To support the Operational Planning & Performance team and provide an efficient and effective general administrative and secretarial support service. This role will be responsible for supporting the Governance & Admin team.
Key Deliverables
- Diary management for members of the Governance & Admin and all Directors.
- Organising and taking minutes for team meetings and training sessions.
- Booking travel and hotels as required.
- Supporting with low level purchasing where required.
- Creating governance monitoring tools including board training and paper review.
- Broader office management tasks, including locker setup and general office support.
Key Responsibilities
- Undertake general office administration duties including control of all post and co-ordinating office supplies.
- Arrange travel, hotels and transport as requested for the team.
- Organise meetings and produce, collate and disseminate documentation.
- Take minutes when required and follow up actions from meetings.
- Provide a consistent in-person presence on behalf of the team.
- Maintain an efficient filing system.
- Utilise financial and procurement systems and act as Local Purchasing Agent.
- Report team problems e.g. IT and office facilities.
- Undertake administrative tasks as directed.
- Support the Business Manager and Board Governance Coordinator in governance activities.
- Act as a key support for the wider EA/PA network.
- Serve as a central point of contact for operational duties.
- Support on subscription management and training coordination.
Knowledge, Skills, Experience & Technical Qualifications
Essential
- Ability to multitask.
- Experience in appropriate IT packages.
- Good time management.
- Strong organisation skills.
- Good communication skills (verbal and written).
- Experience of working with a team.
Desirable
- Sound railway background and knowledge of railway geography.
- Recognised qualification in keyboard associated skills and office management techniques.
- Knowledge and experience of records management.
