The role will be part of the Group Technology function and will help facilitate the successful delivery of IT projects by coordinating resources, managing schedules, and ensuring effective communication among all stakeholders.
Responsibilities / Accountability:
- Managing project schedules, timelines, and milestones, including tracking the progress of tasks assigned to team members.
- Acting as a central point of communication for the project team, stakeholders, and vendors.
- Scheduling and leading project meetings (kick-offs, status updates, reviews), including preparing meeting agendas, taking detailed minutes, and distributing action items.
- Supporting the prioritisation of technical backlogs, taking into account other portfolio work and resource requirements.
- Managing and maintaining all project governance including key project documentation (e.g., project plans, contracts, reports, and risk logs).
- Assisting the Project Manager with budget tracking, including monitoring costs and processing purchase orders.
- Coordinating project resources, planning in resource time, highlighting resource risks/issues and being able to proactively resolve before it becomes an issue.
Capabilities required:
- Ability to work collaboratively with internal stakeholders and external suppliers.
- Strong communication (written & verbal) and interpersonal skills, with the ability to simplify complex technical updates into concise executive summaries for stakeholders.
- Highly organised, detail-oriented, and able to work independently.
- Demonstrate strong time management capability, distinguish between urgent and important tasks and manage their own workload effectively to meet deadlines.
- Ability to proactively problem solve, be able to identify, flag, and resolve daily issues (e.g., scheduling conflicts).
Experience and Qualifications:
- A solid understanding of the project lifecycle (Initiation, Planning, Execution, Monitoring, Closure) and key terms like milestones, deliverables, scope, and risks.
- Experience with core administrative tasks, such as scheduling meetings, resource coordination, and basic budget tracking (e.g., processing invoices, monitoring expenses).
- Strong proficiency with software including Microsoft Excel, Google Workspace, Jira, etc.
