The Events Coordinator will be pivotal in bringing the DEYA brand to life through the successful execution of events, working directly from provided briefs. The role will coordinate the operational lifecycle of the DEYA events program, from details scheduling and meticulous planning through to seamless on-the-day organisation and execution, as well as post-event follow up and feedback.
The Events Coordinator will ensure all events, whether at the brewery, taproom, external events, or collaborations are delivered flawlessly enhancing brand visibility, fostering consumer engagement, creating positive experiences and building brand loyalty through direct interaction. A key aspect to the role is to act as a passionate brand advocate in all customer interactions during events.
The role will be required to travel frequently around the UK and within Europe from time to time.
Event Planning & Organisation (from Brief):
- Thoroughly review and understand event briefs, clarifying requirements and objectives as needed.
- Develop detailed operational plans and timelines for each event based on the brief.
- Manage event budgets effectively, ensuring adherence to allocated resources.
- Create and maintain comprehensive event documentation.
- Develop and manage event schedules, ensuring all elements run smoothly and on time.
- Coordinate with internal teams (taproom, marketing, sales) to ensure all aspects of the event are covered.
- Liaise with external vendors (food vendors, entertainment, transport) to schedule and confirm their participation.
Event Execution:
- Oversee the setup and breakdown of event spaces.
- Manage on-site event operations, ensuring everything runs according to the plan.
- Act as the primary point of contact for event-related queries on the day.
- Proactively address any issues or challenges that arise during events.
Brand Advocacy:
- Act as a knowledgeable and enthusiastic ambassador during all events.
- Engage with attendees, providing information about the brewery, beers, and brand story.
- Contribute to creating a welcoming and positive brand experience for event attendees.
- Ensure all events are planned and executed in accordance with relevant health and safety regulations and brewery guidelines.
- Conduct risk assessments for events and implement necessary safety measures.
- Act as a point of contact for health and safety concerns during events.
Post-Event Follow-up:
- Assist with post-event evaluation, gathering feedback and identifying areas for improvement.
- Ensure timely thank you notes or follow-up communication with relevant parties.
- Contribute to post-event reports as required.
- Assist the wider marketing and commercial teams with event-related tasks as needed.
- Stay up-to-date with industry best practices in event management.
Proven Track Record in Event Coordination:
- 1-2 years in planning, organizing, and executing successful events, ideally within the hospitality, leisure, or a related industry.
- Excellent organisational and time management skills.
- Strong logistical planning abilities.
- Effective communication and interpersonal skills.
- A genuine desire to create positive and engaging experiences for event attendees.
- Understanding of health and safety regulations for events.
- Experience working with or a strong interest in the craft beer industry.
- Familiarity with budget management for events.
- Experience in using event management software or tools.
