We are looking for a highly motivated and multi-skilled Business Support Administrator to join the Mid Devon Older Persons Mental Health (OPMH) Community team based in Tiverton. If you are looking for a varied, fulfilling administration role this post could be for you. The post will be supporting the clinical team with all of their administration needs. You will have contact with older people and their families/carers over the telephone; the successful candidate will be caring and compassionate and able to work in a busy environment. The clinical team is diverse and comprises of mental health practitioners, medical staff and support workers. You will be part of an administration team who will provide support and training for the role and also part of the wider clinical team, attending team meetings and training events.

The tasks are varied each day and experience in the use of Microsoft packages is required for this role. You will have a line manager who will support you in your role and you have the opportunity to provide input to help shape and improve administration processes around the clinical needs of the team along with your colleagues. This is a part-time post working 22.5 hours per week. Interviews to be held on Friday 20 February 2026.

Main duties of the job:
  • Answering the telephone
  • Typing of assessment letters
  • Correspondence with GPs and other professionals
  • Answering emails
  • Minuting of Multi-disciplinary team meetings and other professional meetings
  • Ordering supplies
  • Room bookings
  • Scanning of documents and other general office tasks
  • Managing and maintaining a shared administration inbox
  • Attending training events
  • Ensuring core training is kept up to date
  • Data inputting including referral processing and wait list management

Person Specification:

Experience: Excellent organisational skills. Ability to prioritise workload and adapt to change when required. Previous experience of working within an administrative or secretarial team. Experience of dealing with confidential and complex information. Previous experience of working in a Healthcare or Social Care administrative setting. Ability to take accurate formal and informal minutes. Demonstrate good numeracy and literacy skills.

Qualifications: Business Administration Level 3 / T Level qualification in Management and Administration, or equivalent experience. GCSE English or equivalent. Evidence of continuing professional and personal development. ICDL (International Computer Driving License), or equivalent experience.

Knowledge and skills: Intermediate IT skills in Microsoft Office Packages, i.e. Word, Excel, PowerPoint and Outlook. Working knowledge of a range of administrative procedures including diary management and arranging appointments. Experience or understanding of creating electronic records, electronic filing systems and electronic database management. Ability to manage diverse workload whilst dealing with frequent interruptions. Ability to meet deadlines and to work under pressure. Exceptional organisational skills and ability to prioritise. Ability to work both independently and as part of a team. Ability to provide a high standard of secretarial support for meetings e.g. organising, booking venues and minute taking. Knowledge of our business and how it supports patient care.

£24,937 to £26,598 a year pro rata (22.5 hours per week)
