This Executive Assistant role sits within Investment Banking and Capital Markets (IBCM) in the Investment Bank. IBCM offers a comprehensive range of advisory and capital‑raising services to clients. You will provide direct support to a small team of varying corporate titles from Managing Director down to Analyst within a sector coverage team, managing all aspects of their client liaison and administrative needs. In addition to administrative and assistant support for a team, the role also includes management responsibility for all IBCM UK‑based Sector & Country Coverage Assistants and M&A Assistants, ensuring coordinated, high‑quality support across the platform. IBCM is a fast‑paced, high‑performing environment. To be effective in this role, you will need strong prioritisation capabilities, excellent communication skills, sound judgement, and outstanding attention to detail.

Your key responsibilities

  • Coordinating complex calendars and schedules for senior bankers to ensure effective time management and prioritisation of engagements
  • Facilitating detailed travel plans for all team members, including planning and booking itineraries (flights, hotels, visas), scheduling travel‑related meetings, and processing expense reimbursement
  • Running point on setting up meetings across multiple time zones, booking meeting rooms, arranging building access, and organising catering so that events run seamlessly
  • Establishing trust and managing sensitive telephone and email correspondence on behalf of senior bankers
  • Managing all IBCM UK‑based Sector & Country Coverage Assistants and M&A Assistants, including oversight of workload distribution, standards of support, best‑practice sharing, holiday cover arrangements and escalation management

Your skills and experience

  • Solid experience as a Personal/Executive Assistant within the finance industry
  • Demonstrated ability to oversee and coordinate the work of other assistants, ensuring consistent service delivery
  • Strong organisational skills with a focus on complex diary management
  • Exceptional attention to detail
  • Ability to communicate clearly, concisely, and confidently
  • Discretion and the ability to always manage sensitive information confidentially
  • Ability to prioritise, work under pressure, and multi‑task
  • Proactive and resourceful, able to anticipate needs and problem‑solve effectively
  • A strong team player with a collaborative mindset
