Purpose of Role / Overview
This role plays a key part in supporting the management and coordination of our casual workforce across the group. You will work closely with operational teams to ensure all trips and services are fully resourced with the right people in place at the right time. Acting as a central point of coordination, you will help plan, schedule and allocate casual workers, ensuring all staffing requirements are met efficiently and in line with business needs. A strong focus of the role is maintaining compliance – making sure all workers are appropriately trained, qualified and up to date with any regulatory or internal standards before being assigned to trips. You will build strong relationships with both internal teams and our wider workforce, responding to changing requirements, solving staffing challenges and ensuring a smooth and consistent delivery of service. This is a fast-paced, collaborative role where organisation, attention to detail and proactive communication are key to success.
Accountabilities
- Working across our core operations divisions you will forecast staffing requirements for upcoming trips based on schedules, locations, and activity levels.
- Source, onboard, and manage relationships with local staffing agencies to ensure a reliable pipeline of high-quality casual and field-based staff.
- Negotiate competitive day rates, hourly rates, and agency margins; establish clear Service Level Agreements (SLAs) to maximise value and protect company margins.
- Verify that all partnered agencies strictly adhere to UK and international labour laws, including Right to Work checks, AWR (Agency Workers Regulations), and rolled-up holiday pay compliance.
- Oversee the end-to-end timesheet process for agency workers, validating hours worked against project schedules to ensure accurate billing and prompt weekly/monthly approvals.
- Ensure that all staff receive necessary training and briefing to complete assigned duties.
- Maintain and update the internal staff database to ensure only top-performing casual workers are prioritised for future deployments.
- Maintain an up-to-date pool of casual workers, with all required information including hours worked, location, skillset etc.
- Identify staffing gaps early and work with operations to ensure effective recruitment initiatives.
- Work alongside the operations team to allocate staff to trips in line with experience, location, and availability.
- Issue work assignments and confirm availability with casual staff.
- Manage changes, cancellations, and last-minute cover requirements.
- Ensure fair and efficient allocation of work across the casual workforce.
- Ensure all casual workers are fully compliant and onboarded before being deployed, including onboarding and issuing the relevant contract/agreement, ensuring all right to work checks are completed and compliant, ensuring training days are scheduled, and all training data is logged, ensuring DBS or safeguarding checks are completed.

- Experience in workforce planning, scheduling, or operations coordination.

- The ability to build strong relationships with employees and line managers.
- Experience in travel operations and/or logistics.
- Be self-motivated and proactive, with a 'can do' approach and a high level of attention to detail, initiative and persistence.
- Have outstanding organisational skills with proven ability to manage time and prioritise tasks to deliver when working under pressure and to tight deadlines.
- Possess strong communication skills (written and verbal) are essential.
- Have a strong working knowledge of Microsoft Office programmes (Word, Outlook, Excel and PowerPoint).
- Be accurate and flexible, can work independently with minimal to no supervision.
- Be a team player with a track record of building strong, effective working relationships.
- Have good Worldwide travel knowledge.
- Have excellent customer service skills.
- Have the ability to think logically and consider all relevant aspects with strong analytical skills.
- Experience working with sports travel would be desirable but isn’t essential.
