Role Purpose

The role requires a high standard of administration skills, excellent customer service and good experience/knowledge of the transport industry.

This role balances commercial optimisation with exceptional customer service to deliver efficient, measurable results.

Working collaboratively within the wider operations function and maintaining regular contact with the sales team, it plays a key role in ensuring inspiresport tours are delivered to the highest standard, exceeding client expectations and encouraging repeat bookings.

  • Accountabilities
  • Manage the bookings for all flight requirements including both scheduled and low cost carrier services and tour logistics
  • Take ownership of sourcing most applicable routing and flight times to align with flight budgets and tour itineraries
  • Maintain a process to ensure that all flight falling under scope are booked or in research stage
  • Action all schedule changes, liaising with operations team to source best solution
  • Review costings, quotes & invoices when received, to ascertain profitability of tours whilst ensuring the viability of a tour’s logistics.
  • Monitor and improve tour margins against original budgets. Identify opportunities for cost savings and service enhancements.
  • Negotiate with suppliers to secure favourable rates outside of published fares
  • Assist the Senior Leadership Team (SLT) in driving financial performance
  • Maintain accurate records of margin performance, present performance KPI’s to SLT
  • Handling the input of Advanced Passenger Information (API)
  • Updating in-house transport management systems
  • Responsible for ensuring that Tour Coordinators have the necessary information regarding their bookings
  • Regular interaction and reporting to the sales and operations teams
  • Actively build quality relationships with our service suppliers thus ensuring that quality service is provided to our clients
  • Specifically monitor the usage of service providers to proactively benefit from economies of scale
  • To work effectively to meet deadlines and targets, whilst retaining accuracy and attention to detail
  • Collaborate with the operations department as a whole and across the departments/businesses.
  • Work on ad-hoc projects and improvements to the operational processes

  • Intermediate IT skills: especially with Microsoft packages (Excel, Word)
  • Knowledge of travel logistics and contract management.
  • Awareness of transport management systems and or tracking systems preferential
  • Excellent attention to detail

  • Understanding of safeguarding and compliance in youth travel.
  • Ability to work under pressure and drive robust decisions whilst problem solving.
  • Proficiency in managing multiple projects and stakeholders simultaneously
