Hello. We are DesignScene, a global creative agency crafting design-led events and experiential marketing campaigns for brands worldwide. We are looking to strengthen our London team with the addition of a Senior Resource / Traffic Manager to work across physical, hybrid and digital events and activations.

This role is ideal for someone who can quickly embed themselves within the business, take ownership of day-to-day resourcing and time planning operations, and confidently manage workflows across multiple teams and projects from day one. You will have 4+ years’ experience within an events or creative agency environment in a resource planning, traffic or studio management role, with a strong understanding of creative workflows, project delivery and operational best practice. You are highly organised, commercially aware, solutions-focused and thrive in fast-paced environments.

Overview

What is the purpose of the role? Working closely with department heads, Producers, Production and the Creative Studio, you will be responsible for managing and optimising resource planning across the business to ensure the smooth and efficient delivery of projects across digital and IRL presentations, broadcasts and installations. This is a highly operational role requiring someone who can confidently manage the day-to-day flow of resources, balance priorities across departments, identify bottlenecks before they arise and continuously improve planning processes and systems.

You will play a key role in driving commercially effective resource management through strategic thinking, proactive problem-solving and clear communication across international teams.

Responsibilities
  • Managing day-to-day resource allocation across Projects, Production and Creative teams
  • Owning and improving resource planning processes, tools and reporting
  • Working closely with stakeholders to forecast workloads and optimise team utilisation
  • Identifying resourcing gaps and freelancer requirements proactively
  • Supporting efficient project delivery through accurate scheduling and planning
  • Delivering reporting and analysis to support commercial and operational decision-making

Salary: £45-60K (dependent on experience) plus bonus schemes

What you’ll achieve
  • Provide effective resource planning across all three project-facing business functions (Projects, Production & Creative Studio)
  • Ensure smooth day-to-day management of team schedules, workloads and project priorities
  • Drive process improvements that enhance operational efficiency and commercial performance
  • Deliver accurate forecasting, reporting and analysis to support resource and cost management
  • Build strong working relationships across departments to ensure clear communication and effective collaboration
  • Support international teams with effective cross-time-zone resource planning
  • Participate in creative kick-off meetings and regular project status meetings
  • Work with teams to ensure critical paths capture key milestones, deadlines and actions clearly
  • Collaborate with Project Managers to maximise efficient resource allocation across all DesignScene projects
  • Build, manage and maintain accurate resource plans and schedules
  • Identify resourcing or skills gaps across internal teams and freelancers
  • Coordinate workloads across departments and international teams
  • Use Procim systems to produce reports, insights and planning analysis
  • Create weekly and monthly forecasting documentation and reporting
  • Manage freelancer resourcing and utilisation
  • Monitor team capacity and recommend workload prioritisation where needed
  • Flag resource bottlenecks, conflicts and delivery risks proactively
  • Monitor freelancer overheads and support recruitment recommendations
  • Produce weekly commercial reporting highlighting trends, risks and opportunities
  • Participate in internal debriefs and continuously improve planning processes and workflows
Required Skills and Experience
  • Exceptional written and verbal communication skills
  • Excellent project management, planning and prioritisation skills
  • A flexible and proactive approach, with the ability to multitask across multiple projects and teams
  • Proven time management skills within fast-paced agency environments
  • Ability to work under pressure and confidently manage ambiguity
  • Strong problem‑solving skills with the ability to identify, mitigate and manage risks
  • Quick‑thinking, intuitive and analytical mindset
  • Excellent organisational and coordination skills
  • Self-starter with the ability to independently develop, manage and deliver plans
  • Experience working across international projects and teams
  • Strong understanding of the events and experiential industry
  • Experience managing day-to-day resource planning and workflow optimisation within a creative or production environment
Technical Knowledge
  • Confident using Apple OS, Google Workspace, Microsoft Office and Apple Keynote
  • Comfortable learning and adopting new platforms and systems including Slack, Airtable and similar tools
  • Experience using resource planning or traffic management software
  • Experience with PROCIM is a bonus
