Summary

To carry out general practice surveying duties, including lease advisory matters within the estate management team on commercia properties including surveys, advice and negotiations in connection with rent reviews, lease renewals and leasing strategies.

To carry out general practice surveying duties, including lease advisory matters within the estate management team on commercia properties including surveys, advice and negotiations in connection with rent reviews, lease renewals and leasing strategies.
- Reporting
- Prepare, issue agendas, minute and attend periodic client and/or review meetings and/or presentations.
- Prepare annual service charge budgets in a timely manner for client/tenant consideration, monitor expenditure against budget, and reconcile service charge budgets within 4 months of year-end.
- Compile and complete letters and reports in connection with rent review, lease renewals and leasing strategies, including delivery of professional advice to clients either solely or in conjunction with others in the firm, as necessary.
- Administration
- Overseeing, managing and mentoring of more junior staff.
- Code invoices relating to management costs for approval in line with the Property Budget (where relevant).
- With the assistance of the Property Management & Accounts Assistant, manage recharging of utilities and other property related charges (outside of service charge and insurance) to appropriate occupiers, including providing back up information where needed.
- Work with client insurance brokers and accounts to issue the insurance premium recharges to all occupiers including checking leases, tenancies schedules, apportionment, cover, premiums and certificates.
- Arrange property inspections for 3rd parties as required including regular inspections of properties to meet tenants, identify works required and ensure compliance with lease terms through appropriate action.
- Specify, tender and manage minor works and maintenance contracts.
- Complete lease synopsis sheets following lease renewals, new tenancies etc.
- Maintain comprehensive records of rent review, lease renewal and leasing strategy instructions in progress, in conjunction with the administration staff, including file notes where applicable; and maintain detailed records with respect to fee matters including fee agreement, interim and fund billing, fee projections and forecasts.
- Property Systems
- Regularly review the database for all managed properties and ensure that the system is accurate.
- Ensure that diaries are monitored within the Qube system and that upcoming dates are triggered.
- Access 3rd party systems, such as solicitors’ extranets and use as needed to manage properties efficiently or as per clients’ requirements.
- Accounts
- Supporting Management Accounts in overseeing the accounts for properties being managed.
- Working with the client accounts team to assist in the preparation of year-end accounts.
- Liaise with the firm’s property management finance team and assist the team with rent/service charge/insurance arrears (chasing as necessary) including liaising with solicitors on any legal action necessary.
- Assist with collection of rents and other receivables.
- Maintain records for EPCs, void costs, insurance, etc.
- Run relevant reports from via Qube and monitor service charge expenditure highlighting funding issues and updating system where necessary.
- Work with client’s and client’s rating advisors, to help manage void business rates.
- General
- Assist / lead on the production of client pitches and presentations
- Consider 'value add' initiatives for the managed estate to maintain and enhance value.
- Manage onboarding and handover of properties.
- Deal with tenant enquiries, clients, solicitors, local authorities, etc.
- Keep up to date with all current issues in property management and the surveying industry and be fully conversant with RICS' and statutory requirements of managing property, including a working knowledge of the RICS Codes of Measuring Practice.
- Liaise with the firm's building surveying, agency and professional teams with respect to related work on managed estates.
- Assist and occasionally lead on lettings on the managed portfolio; and with disposals on managed property sales, including completion of CPSEs.
- Monitor property management instructions during holidays (on rota, with others).
- Carry out general practice surveying duties with regard to all lease advisory matters as required, where relevant.
- Contribute / lead the firm's property management team meetings; and attend and contribute to other of the firm's divisional meetings.
