Job overview: The post holder will play a pivotal role in supporting a major project within one of the divisions, specifically focusing on providing comprehensive administrative and project support of TUPE (Transfer of Undertakings [Protection of Employment]) processes. This will include supporting all administrative aspects of TUPE activity, including consultation arrangements, documentation management, workforce data tracking, meeting coordination, reporting and stakeholder communication. The post holder will work closely with People colleagues, managers, trade unions and operational teams to ensure TUPE processes are delivered efficiently, accurately and in accordance with employment legislation and Trust policies. The post holder will play a key role in maintaining accurate records, supporting governance processes and ensuring employees receive timely and professional communication throughout organisational change processes. Although hybrid working, the role will require on-site working when the service requires. There will be an expectation to be on site, may require travel to other sites and there will be an element of remote working.

Main duties of the job:

  • Administration & Coordination
    • Provide day-to-day admin support for TUPE and workforce change.
    • Maintain trackers, logs, databases, and project documentation.
    • Coordinate meetings, including agendas, papers and minutes.
    • Support employee communications and consultation materials.
    • Ensure records and documentation are accurate, secure and GDPR compliant.
    • Collate and validate workforce data for due diligence.
    • Monitor timelines and elevate risks or delays.
  • Project Support
    • Support TUPE Lead with planning and implementation.
    • Coordinate meetings with stakeholders (HR, payroll, recruitment, divisions).
    • Assist with reports, presentations, and briefings.
    • Track milestones and delivery against plans.
  • Workforce Information & Reporting
    • Produce and maintain reports, spreadsheets and data summaries.
    • Support audits and information gathering.
    • Ensure accurate TUPE-related record keeping.
  • General
    • Attend meetings and support TUPE Lead as required.

Person specification:

  • Knowledge
    • A working knowledge and understanding of current employment legislation.
    • Up to date knowledge of the content and requirements of HR issues facing the NHS.
    • Understanding of confidentiality awareness.
    • Knowledge of NHS Terms and Conditions of Service.
    • Knowledge of medical workforce Terms and Conditions of Service.
    • Knowledge of Maintaining High Professional Standards for Medical & Dental staff (MHPS).
    • Knowledge of Electronic Staff Record (ESR).
  • Qualifications
    • Educated to ‘A’ level or equivalent level qualifications or equivalent level of HR knowledge, gained through training and experience.
    • Evidence of commitment to ongoing personal development.
    • CIPD Level 3 Certificate in HR practice.
  • Experience
    • Involvement in communication with trade union representatives.
    • Ability to produce clear and succinct reports, notes, minutes and correspondence.
    • Dissemination of statistical information on a monthly basis.
    • Excellent interpersonal skills including sensitivity and ability to influence, persuade, motivate and negotiate.
    • Ability to deal with difficult situations in a professional manner including contentious and sensitive issues.
    • Ability to explain complicated employment matters to line managers.
    • Knowledge and proficiency in use of relevant software packages – Microsoft Excel, Word, PowerPoint, Access and Outlook.
    • Ability to prioritise own workload in order to meet deadlines.
    • Flexible approach to duties to support team colleagues within the HR Team and wider directorate.
    • Ability to work as part of a team and support a culture of positive team working.
    • Experience in supporting the management of employee relations cases to include disciplinary, grievance, Dignity at Work and Capability to formal hearing level.
    • NHS Experience.
    • Experience of working in Acute Provider NHS settings.
  • Contractual Requirements
    • Flexible in working pattern to ensure needs of the service are achieved.
