About the Role
Operations Support Manager (with PA duties) provides operational leadership for the Northern Ireland office while delivering high‑level executive support to the Deputy Director.
Beyond administrative coordination, you will be responsible for cultivating a positive office culture, ensuring the Regional Office is a professional, safe, and welcoming environment that reflects Depaul’s values.
Responsibilities
- Operational & Culture Leadership
- Actively lead and promote a collaborative and inclusive office culture.
- Facilitate the induction of new staff, managing tours, equipment briefings and cultural orientation.
- Carry out Front of House duties, including managing incoming communications and supporting internal/external events.
- Manage the NI office environment, ensuring it is well‑presented, fit for purpose and technologically functional.
- Track office budgets and authorise expenditure via company credit or Soldo cards.
- Administrative & Executive Leadership
- Provide executive assistance to the Deputy Director, including calendar management, travel bookings and managing sensitive correspondence.
- Prioritise competing demands on senior leadership time and provide delegated support to other NI management.
- Lead Meeting Governance, including preparing agendas, minute‑taking for routine and ad hoc meetings and tracking action items.
- Support organisational initiatives such as the VMV Committee, Advent Series and Service User Surveys.
- Health, Safety and Building Management
- Act as the Local H&S Lead, responsible for risk assessments, fire safety, DSE, first aid and coordinating audits.
- Develop and maintain office policies and ensure strict adherence to confidentiality and codes of practice.
- Manage the Fire Register and coordinate routine safety inspections.
- Oversee lease agreements, procurement and vendor management, including supervising external cleaners and maintenance teams.
Qualifications & Experience
- Minimum of three years’ experience in office management, senior administration or coordination role, including reception and customer service.
- Experience in the charity or not‑for‑profit sector (Desirable).
Skills & Knowledge
- Technically proficient with Microsoft Office (Word, Power Point, Excel).
- Ability to manage multiple competing priorities and meet deadlines in a busy environment.
- Proven ability to maintain accurate electronic and hard copy filing systems.
- Professional and approachable communication style with the ability to work independently or as part of a team.
- Flexible approach with the ability to adapt to changing organisational needs.
- Interest in leveraging AI tools to enhance office efficiency (Desirable).
