There is no better time to join the award winning DWP Estates team. This position is based within DWP\βs Estates directorate, part of People, Capability and Place and will be a representative across the Service Delivery Field and Corporate Function working closely with senior stakeholders and customers, to ensure high quality day to day delivery of services. With key responsibilities in supporting and ensuring cost effective improvements in operational delivery, increased customer satisfaction and compliance with policies and regulations, whilst supporting the delivery of the relevant aspects of the strategic Real Estate portfolio plan.
Key Responsibilities
- Tracks plans and activities across operational delivery, reporting through agreed Governance channels both within Service Delivery and more widely across Estates
- Works closely with Finance Business Partners and Supply Chain Managers to ensure that the monthly financial reporting cycle, Security and FM, is supported with accurate budgetary information.
- Support the Operational Risk Manager β drawing together Regional risk management plans to allow accurate assessment of Estates level risk in line with risk management framework.
- Ensures that stakeholder engagement governance is actively delivered in line with the agreed framework that is in place across the team, support the preparation of meetings, ensuring consistency and identifying points of escalation.
- Ensures that supply chain engagement across FM and Security is actively delivered in line with the agreed framework that is in place across the team, support the preparation of meetings, ensuring consistency and identifying points of escalation.
- Monitors the teams role in the delivery of the Estates Portfolio Strategy, reporting on key milestones and being proactive in the development and improvement of processes.
- Take the lead role for the team in relation to SharePoint, Registered Files and FOI requests β setting up appropriate governance and ensuring compliance.
- Proficient in the use of Power BI, supporting colleagues with the production of management information for use with business stakeholders and the supply chain.
- Monitor and support people development activities within team, ensuring that training plans are kept up to date and working with suppliers to drive VFM through rationalisation of courses and delivery methods.
- Manages plans and activities across operational delivery teams to support wider strategic priorities and communicates effectively with senior leaders and customers to influence strategies.
- Support the G7 Operational Oversight Manager to effectively manage budgets across Security and FM services.
- Collation and management of Regional Operational Estates Risk logs to support risk management in line with risk management framework.
- Supporting the management of stakeholder engagement governance through the production of MI data packs to ensure consistency across the team.
- Supporting the management of supply chain engagement across FM and Security services through the production of MI data packs to ensure consistency across the team. Providing support to the G7 Operational Oversight Manager in collation of escalations to inform performance management meetings.
- Works alongside wider Estates teams to ensure the Estate Strategies are delivered collaboratively through a blended team approach. An excellent communicator, bringing together views, perspectives and diverse needs of stakeholders to gain a broader understanding of the issues within Estates.
- Supporting the provision of operational assurance, including challenge and approval relating to spend and service provision presenting reasonable conclusions from a wide range of complex scenarios, making decisions confidently even when details are unclear or if they prove to be unpopular.
- Contributing to the development and changes to operating processes in partnership with the Integrator supplier. Recognising and sharing innovative ideas from a diverse range of stakeholders.
- Through continuous improvement, coordinate initiatives to support best practice, MI, innovation, cost savings, performance, customer satisfaction and quality to drive out cost reductions and achieve vfm.
- Support operational delivery people development activities to increase team\βs capabilities whilst fostering a \βOne Team\β culture.
