An organised and proactive Content Assistant to support the coordination, administration, and delivery of high-quality food content across magazine, supplements, online, and video platforms for a major food retailer. This role provides essential administrative and production support within a busy content studio, ensuring everything from product call-ins and proofing to scheduling and asset management runs smoothly. You’ll work closely with editorial, creative, and commercial teams to help deliver inspiring, beautifully crafted content for a food-loving audience.
Key Responsibilities
- Coordinate and track the calling in of products, props, and food samples for the magazine, magazine and newspaper supplements and video shoots, managing deliveries and returns efficiently.
- Work closely with producers, stylists, and creative teams to ensure products, props, and shot lists are ready for shoot days, providing general support where needed.
- Support Studio Leads (Magazine, Digital, Food, Commercial) and the wider editorial and design team with production research, copy support, checking product availability, sourcing and downloading pack shots and light checks during the production process.
- Maintain an organised archive of digital assets and final projects, ensuring everything is accurately filed and easy to retrieve.
- Assist with online content, including uploading and tagging recipes, features, and metadata for CMS and app platforms, ensuring accuracy and brand alignment.
- Use AI and workflow tools (e.g. Monday.com) to streamline admin, and content management.
- Manage finance and freelancer administration, including setting up new suppliers, raising purchase orders, processing invoices and expenses, and maintaining accurate cost logs.
- Keep team databases, contact lists, and records up to date and GDPR compliant.
- Act as the first point of contact for studio communications, responding to enquiries and supporting smooth collaboration across teams.
- Organise room bookings, visitor passes, couriers, mailouts, and team travel, providing reliable support for day-to-day studio operations.
Required Skills and Experience
- 1–2 years of experience providing administrative or production support within a creative, content, or agency environment (e.g. publishing, marketing, or media production).
- Experience coordinating multiple projects, stakeholders, and deadlines in a fast-paced setting.
- Familiarity with digital publishing workflows, such as managing assets, metadata, and uploads to CMS platforms.
- Strong time management and prioritisation skills; able to coordinate competing tasks and maintain accuracy under pressure.
- Clear and confident written and verbal communication, with strong grammar and attention to detail for copy, briefs, and stakeholder emails.
- A genuine team player who works effectively with creative, editorial, and commercial colleagues to keep projects moving smoothly.
- Confident using Microsoft Office Suite (Word, Excel, Outlook) and familiar with project or asset management tools.
- Flexible, proactive, and solutions-focused, with the ability to stay calm and professional in a fast-changing studio environment.
- Meticulous in maintaining accurate records, managing budgets, and ensuring final content meets brand standards.
- Interest in digital content production, from CMS management and SEO principles to analytics or tagging processes.
- Openness to using AI tools for improving workflow, content organisation, and administrative efficiency.
