This is an exciting opportunity for an organised and proactive Logistics Coordinator to join our Logistics team, reporting into the Logistics Supervisor.
You’ll play a key role in planning and coordinating the safe and efficient movement of artwork to retail galleries, third-party galleries, and clients. Working closely with drivers, Art Technicians, Lead Drivers and wider operational teams, you’ll ensure resources, routes and schedules are planned effectively while maintaining the high standards expected of our premium product and service.
This role would suit someone who enjoys working in a fast-paced environment, is confident managing multiple priorities, and has a strong eye for detail. You’ll have the opportunity to make a real impact on transport efficiency, service delivery and continuous improvement.
What you’ll be doing
- Planning and optimising daily delivery routes using MaxOptra, balancing service requirements, resource availability and operational efficiency.
- Allocating drivers, Art Technicians and vehicles effectively, including identifying deliveries requiring two-person teams.
- Preparing delivery schedules, loading manifests, vehicle-loading plans and driver paperwork to support the smooth execution of daily transport activities.
- Scheduling non-system-generated deliveries, collections and event-related movements.
- Ensuring bespoke packaging requirements and specific delivery instructions are prepared ahead of next-day deliveries.
- Liaising with Lead Drivers and operational teams to ensure clear communication and effective execution of the daily plan.
- Supporting drivers throughout the day and managing transport exceptions in a calm, practical and cost-effective way.
- Communicating transport activity, service updates and delivery exceptions to the wider business.
- Ensuring compliance with gallery return, scanning and Proof of Delivery (POD) procedures.
- Reviewing completed driver paperwork and maintaining accurate operational records.
- Monitoring driver welfare, transport compliance and Health & Safety requirements when planning and allocating resources.
- Monitoring third-party logistics usage, raising purchase orders and supporting cost reporting.
- Producing KPIs and performance reports to monitor operational efficiency, compliance and service levels.
- Reviewing route performance and identifying opportunities to improve efficiency, service and cost control alongside the Transport Manager.
- Identifying future logistics requirements and escalating any resource or capacity concerns.
- Ensuring suitable packaging is available for larger and bespoke artwork deliveries.
- Following company procedures and maintaining a safe, clean and organised working environment.
- Complying with all Health & Safety, Quality, Environmental and Corporate Responsibility requirements.
What we’re looking for
- Experience in transport, logistics, distribution or a similar operational environment.
- Strong route planning and scheduling skills.
- Experience using transport planning software, ideally MaxOptra.
- Excellent organisational and time-management skills, with the ability to manage multiple priorities.
- Strong attention to detail and accuracy, particularly when working with schedules, manifests and operational records.
- Confident problem-solver who can make effective decisions in a fast-paced environment.
- Strong communication and stakeholder management skills, with the ability to work effectively with drivers, Lead Drivers and operational teams.
- Good understanding of transport compliance and Proof of Delivery processes.
- Experience analysing operational data and identifying opportunities for improvement.
- Experience working with KPIs and performance reporting.
- Competent in Microsoft Office, particularly Excel.
- Customer-focused and proactive, with a commitment to delivering a high standard of service.
- Able to remain calm, responsive and organised when managing changing priorities or transport exceptions.
- A strong understanding of the importance of Health & Safety, compliance and company procedures.
- A continuous improvement mindset, with a focus on efficiency, service and cost control.
