We are looking for a highly organised and proactive Wholesale Coordinator to support the execution of our wholesale strategy. You’ll play a key role in ensuring operational excellence, maintenance of critical business data, nurturing strong partner relationships, and enabling the smooth running of the wholesale department.
Main responsibilities
- Showroom Planning and Execution: Manage the seasonal showroom calendar, ensuring accuracy and alignment with the critical path. Organisation of the London and NYC showroom logistics and set-up. Work in collaboration with the wider business to coordinate seasonal showroom planning. Including ownership of SMS tracking, seasonal asset readiness and Joor set-up. Prepare appointment data packs and reviews. Track & enter seasonal orders in line with order deadlines.
- Customer Data Management: Maintain accurate records across our systems, including our ERP, JOOR & PreWarp. Send and track order confirmations and purchase orders. Support with legal requirements from DeMellier and/or the clients.
- Partner Support: Manage routine partner communications, ensuring timely follow-up and accurate information flow. Distribution of seasonal notifications, including but not limited to RRP & markdown guidelines, digital assets, and training packs.
- Brand presentation: Ensuring the best representation of DeMellier in our partners’ stores (both online & offline), including positioning and visual merchandising. Monitor our partners’ trade, including sales data and pricing strategies. Be the first point of contact for new wholesale partnership opportunities. Bring industry knowledge to proactively research target regions/cities in line with objectives and strategy.
- Performance tracking: Collate partner sales performance reports and provide accurate and insightful data to identify risk & opportunity. Seasonal creation and maintenance of the reporting system, PreWarp. Gather broader partner insights and market updates/knowledge from store visits and share with the wider team. Ad hoc preparation of materials/data for both internal and partner reviews.
- Internal Collaboration: Liaise with PR, finance, operations, and logistics teams on wholesale-related matters to support daily operational needs. Maintain shared trackers and documents.
Requirements
- 1-3 years in an admin or similar role within a luxury or contemporary fashion business.
- Ability to work in a fast-paced, deadline-driven environment.
- Highly organised, detail-oriented, efficient, and able to prioritise.
- Collaborative and adaptable, able to work effectively within a cross-functional team.
- Strong commercial awareness and communication skills to liaise with internal teams, partners, and external stakeholders.
- Proficient in Excel (pivot tables, VLOOKUP, etc.).
