Role Overview
As an Event Executive, you will be responsible for managing incoming event and group enquiries, converting business, and ensuring a seamless handover to operations for flawless execution. You will serve as a key point of contact for clients, delivering exceptional service from the first enquiry through to post-event follow-up. This role requires strong sales skills, attention to detail, and a proactive approach to driving revenue and building long-term client relationships.
Key Responsibilities
Event Sales & Coordination
- Manage, convert, and coordinate assigned event and group enquiries.
- Prepare all event documentation and liaise with hotel departments to ensure consistent, high-level service throughout pre-event, execution, and post-event stages.
- Conduct compelling show rounds and site visits to secure business.
- Work with the Sales & Events team to prepare sales packs, gift bags, and collateral for site visits, VIPs, and familiarisation trips.
- Manage-bedroom blocks and meeting space inventory for assigned groups.
- Create contracts for Corporate and Group proposals.
- Identify opportunities to up-sell products and services to maximise revenue.
- Proactively re-solicit previous customers to drive repeat business.
Customer Service & Guest Experience
- Deliver excellent customer service at every stage of the enquiry and event process.
- Interact with guests to gain feedback, resolve issues, and exceed expectations.
- Conduct pre- and post-event meetings to ensure client satisfaction and gather feedback.
- Act as a resource for other departments when sales or event information is required.
- Ensure all associates involved in an event understand requirements and standards.
Administration & Systems
- Manage administrative tasks, including responding to enquiries and producing reports using systems such as Opera, MGS, Marsha, and Microsoft Office.
- Maintain up-to-date collateral and correspondence relating to sales and events.
- Ensure correct use of systems and processes to guarantee booking integrity and accuracy.
- Support the Sales & Events team with projects, ensuring deadlines and standards are met.
Teamwork & Brand Standards
- Communicate effectively with internal and external stakeholders.
- Work within brand standards for enquiry handling and event management.
- Support colleagues to achieve shared goals and departmental targets.
- Participate in departmental training and continually seek improvement.
Safety, Security & Policies
- Follow company safety, security, and loss prevention procedures.
- Report accidents, injuries, and unsafe conditions promptly.
- Maintain professional appearance and uniform standards.
- Protect guest and company confidentiality.
- Adhere to all company policies and quality expectations.
Candidate Profile
Experience
- At least 1 year of experience in a customer service, sales, or event management role (hotel environment preferred).
Skills & Knowledge
- Strong sales, negotiation, and communication skills.
- Knowledge of meetings & events management processes.
- Excellent organisational and problem-solving skills.
- Proficiency in Microsoft Office and hotel booking/event systems desirable.
- Ability to manage multiple priorities with attention to detail.
- Strong relationship-building and customer service mindset.
