About the role
We're looking for an Operations Generalist to join Definely at an exciting stage of growth. This is a broad, hands‑on role sitting across people operations, office management, business operations, and recruitment, ideal for someone who thrives on variety, takes real ownership, and enjoys making things run smoothly behind the scenes. Reporting directly to our VP of People, you'll also provide dedicated support to our Co‑founder and Chief Legal Officer, Feargus, across people and operational matters.
What you'll do:
- People & Office Operations
- Own and continuously improve core people processes across the employee lifecycle, onboarding, changes, and offboarding
- Manage our HR systems (Hibob), employee records, and people documentation
- Support benefits administration and policy updates with external providers
- Run day‑to‑day office coordination and supplier management
- Help organise company events, team socials, and offsites
- Recruitment
- Coordinate and manage end‑to‑end recruitment processes, working closely with hiring managers
- Own interview scheduling, candidate communications, and keeping our ATS up to date
- Support the creation of job descriptions and posting across relevant channels
- Help ensure a smooth and positive candidate experience throughout
- Business & Legal Operations Support
- Support employment-related documentation including contracts, variations, and compliance across jurisdictions
- Coordinate with external advisers where needed
- Provide operational support to Feargus MacDaied (co‑founder) where People and Legal overlap
- People Partnering
- Act as a reliable first point of contact for employee questions and day‑to‑day people matters
- Help embed good people practices and policies across the business
What you'll bring:
- Experience in a people ops, People/HR generalist, or ops role, ideally in a startup or scaling company
- Exposure to recruitment coordination or end‑to‑end hiring processes
- A genuine love of owning processes end‑to‑end and making things better
- Strong organisational skills and sharp attention to detail
- Discretion and good judgement when handling sensitive matters
- A pragmatic, get‑things‑done attitude with clear communication at all levels
