What the job involves

  • This role reports directly to a Principal Executive Assistant (PEA) and provides high‑quality administrative and operational support to an executive team.
  • The Team Assistant plays a key role in ensuring the smooth running of day‑to‑day activities, supporting meetings, events and coordination across stakeholders, and enabling the executive team and PEA to operate effectively.
  • Provide comprehensive administrative and clerical support to the Principal Executive Assistant.
  • Onsite support for London‑based meetings, including greeting guests, arranging catering, booking meeting rooms and coordinating audio‑visual requirements.
  • Coordinate, set up and support the use of teleconference platforms (WebEx, Microsoft Teams) and video‑conferencing technology.
  • Compile, prepare and handle confidential materials, including senior leadership and board‑level documentation.
  • Manage digital document retention on internal systems and shared drives.
  • Work closely with the PEA (who may be based internationally) on a day‑to‑day basis to ensure effective coordination and coverage.
  • Process invoices and expenses through Oracle for the teams supported.
  • Support ad‑hoc projects, initiatives and administrative tasks as required.
  • Support the PEA with the planning and delivery of internal and external events, including logistics, venue research, travel coordination, AV requirements and on‑the‑day support.
  • Liaise with vendors regarding contracts, setup, catering and schedules.
  • Manage payment requests for deposits and final invoices in line with agreed processes.
  • Track and monitor event budgets.
  • Coordinate with assistants and stakeholders (internal and external) to gather information required for effective planning.
