Overview

As the Product Resource Coordinator you will sit within the Product Resourcing team, a subset of Product Operations and part of the wider Global Product Team who develop and deliver a varied and constantly‑evolving global calendar of learning programmes. The Product Resourcing team is a specialised operations team focused on supporting the Product Team by optimising resourcing, scheduling, and logistics. This role has been created specifically to support the Product Resource Lead who manages resourcing processes and planning for the Global Product Team. The team aims to ensure seamless resource planning and resource optimisation.

The Product Resource Coordinator is a new role designed to ensure excellence in the delivery & logistics planning of our programmes. The Product Resource Coordinator will be laser‑focused on the logistical details of each delivery, managing critical administrative tasks to ensure that every session is planned & scheduled correctly, allowing us to deliver a best‑in‑class experience.

The Product Resource Coordinator is responsible for supporting the team by scheduling workshops and planning prospective sessions in the global calendar. You will have a detailed understanding of the specific requirements for an optimised delivery schedule and support both the client’s and product team needs. You will be focused on key data maintenance and administrative tasks with the goal of successful deliveries and optimisation of resourcing capacity, with the support of the Resourcing Lead.

The Product Resource Coordinator will be ready to work closely to receive and process resource requests, working closely with the cross‑functional team of stakeholders ranging from Decoded’s CEO to our Instructors. You have an inherent digital‑first approach to resourcing, with experience improving process and being data‑driven. You are known for your can‑do attitude and openness towards feedback, pitching in and working as part of the team to ensure we are resourcing all sessions optimally.

Specific Role & Responsibilities

As a Product Resource Coordinator at Decoded, you’re ultimately responsible for:

  • Delivery Schedule Planning
  • Data entry in Coda of confirmed schedules and updating existing schedules
  • Completing key actions on Coda in preparation for a new schedule to go live
  • Spreadsheet maintenance of critical resource planning templates in Google Sheets
  • Maintaining data completeness and enrichment in Coda and Google Sheets, completing key information such as Salesforce Opportunity Codes and assigned staff
  • Drafting mock schedules for our Learning Programmes for review and sign‑off before they are finalised
  • Creating and circulating availability surveys to gather Associates’ availability
  • Conduct onboarding check‑ins with new Associates
  • Adding new joiners to specific resourcing platforms
  • Managing visibility of our Associate network’s availability and corresponding capacity requirement
  • Identifying and escalating potential challenges and making recommendations for improvements
  • Identifying opportunities for automation using a digital‑first approach to resourcing
  • Monitoring incoming requests and ensuring they are categorised for review
  • Assessing request priorities and providing initial responses to stakeholders or providing information already available
  • Gathering raw data from our databases in the format required to conduct forecasting analysis
  • Monitoring sources of data on capacity such as annual leave and workload

Day‑To‑Day

This role is full‑time, 35 hours a week. Core working hours will be 9 am – 5 pm UK time, our Time off In Lieu policy will cover circumstances which may occasionally require working outside of core working hours. You plan your working day around the best outcomes for success, identifying and prioritising projects against business needs. Decoded is a remote‑first business, which enables working fully remotely or working regularly from our office in Shoreditch. In‑person team days such as workshops, training days and social events are organised for teams to spend time together on an occasional basis.
