The role
This PA role sits at the heart of three key functions within ITV Studios, providing dedicated executive support to the Chief Marketing Officer, EVP Global Content and Director of Sales Operations.
You’ll play a vital role in helping these senior leaders to operate efficiently, collaboratively and at pace.
We’re looking for someone who is much more than an exceptional organiser.
You’ll become a trusted partner to three senior leaders, anticipating needs, solving problems before they arise and helping create the operational space that allows them to focus on leading their teams and delivering business impact.
This is a fast-moving, varied and highly collaborative role requiring outstanding organisation, excellent judgement, discretion and the confidence to work with senior stakeholders across an international business.
- Main responsibilities
- Executive Support
- Proactively manage complex and constantly evolving diaries for the CMO, EVP Global Content and Director of Sales Operations, balancing multiple priorities across international time zones.
- Build trusted working relationships with each executive, understanding their priorities and anticipating future needs.
- Protect executive time by identifying conflicts, resolving issues before they arise and ensuring priorities remain aligned to business needs.
- Manage confidential information with absolute discretion and professionalism.
- Coordinate correspondence, meeting requests and day-to-day administration, ensuring timely responses and excellent stakeholder management.
- Executive Travel & Financial Administration
- Take ownership of all UK and international travel arrangements, creating seamless end-to-end itineraries including flights, accommodation, transfers, meeting schedules, travel documentation, restaurant reservations where appropriate and contingency planning.
- Manage executive expenses, purchase orders and invoice processing accurately and efficiently.
- Ensure all travel and logistics are planned to the highest standard, allowing executives to focus entirely on the business.
- Leadership Team Support
- Marketing
- Be an active member of the Marketing Leadership Team.
- Coordinate leadership meetings, prepare agendas, attend meetings, capture decisions and actions and proactively follow up to ensure delivery.
- Organise monthly Marketing team meetings, leadership away days, off-sites and team events.
- Support internal communications, presentations and department updates.
- Play an active role within the Marketing Social team, helping create an engaged and connected team culture.
- Global Content
- Partner closely with the EVP Global Content to support the smooth running and strong team culture of the Global Content team.
- Coordinate team meetings, agendas, briefing papers, minutes and follow-up actions.
- Organise international meetings across multiple time zones and international travel for EVP.
- Coordinate guest speakers, screenings, content showcases and wider team events.
- Support onboarding of new team members and work closely with HR to ensure a positive induction experience.
- Sales Operations
- Provide proactive support to the Director of Sales Operations, coordinating meetings, travel, administration and team priorities.
- Support operational reviews and wider team initiatives through effective planning and coordination.
- Team & Department Operations
- Organise department meetings, conferences, away days, screenings and leadership events across Marketing, Global Content and Sales Operations.
- Arrange meeting rooms, virtual meetings, refreshments and presentation materials as required.
- Prepare agendas, presentations and briefing documents using Google Workspace.
- Maintain organised filing systems and documentation across Google Drive.
- Build excellent relationships with PAs and stakeholders across ITV Studios and internationally.
- Identify opportunities to improve processes and ways of working, taking ownership of improvements wherever possible.
Skills you’ll need

- Significant experience supporting senior executives within a fast-paced organisation.
- Experience managing multiple senior stakeholders and competing priorities.
- Proven experience coordinating complex international travel.
- Experience organising senior leadership meetings and tracking actions.
- Strong financial administration experience, including expenses, purchase orders and invoice management.
- Advanced knowledge of Mac and Google Workspace (Gmail, Calendar, Docs, Sheets and Slides).
