DeadlyScience is seeking a Part-Time (0.6 FTE) Contract and Partnerships Administrator to provide support to our Growth & Partnerships Team on a 12 month contract. Reporting to the Senior Philanthropy Manager, you will maintain accurate CRM records for prospective and existing supporters, support partnership and philanthropy administration, liaise with internal teams to coordinate information, and, where required, assist with the preparation of funding acquittals and progress reports. This position is for a preferred immediate start and is advertised as hybrid, with remote option considered for the right candidate.

Key Responsibilities and Duties

  • CRM and Data Management
    • Maintain accurate and up to date records of prospective and existing supporters within the organisation's CRM.
    • Undertake timely data entry, data cleansing and record maintenance to ensure data integrity.
    • Assist with generating CRM reports and supporter information as required by the Growth & Partnerships Team.
    • Support the ongoing management of fundraising and partnership data in accordance with organisational processes.
  • Partnerships and Philanthropy Administration
    • Provide administrative support to the Growth & Partnerships Team across partnership and philanthropy activities.
    • Assist with the coordination of information required for funding acquittals, progress reports and grant reporting.
    • Liaise with internal teams to gather impact data, program updates and other information required for reporting to funders and supporters.
    • Maintain organised electronic records and documentation relating to partnerships, grants and philanthropic activities.
  • Team Coordination and Communications
    • Support communication and collaboration between the Growth & Partnerships Team and internal stakeholders to ensure reporting milestones and key deliverables are met.
    • Respond to general enquiries support to assist the efficient operation of the team.
  • General Administration
    • Assist with maintaining administrative systems, templates and processes that support the Growth & Partnerships Team.
    • Contribute to the continuous improvement of administrative and data management processes.
    • Undertake other administrative duties consistent with the role, as directed by the Senior Philanthropy Manager or Director of Growth & Partnerships.

Essential Qualifications & Experience

  • Education
    • Formal qualifications in administration, business, communications, project management or related fields are desirable but not essential.
  • Experience
    • Experience in an administrative, coordination or support role.
    • Demonstrated experience working with CRM systems or databases, including accurate data entry and record management.
    • Experience supporting reporting processes, documentation, or coordination of information across teams.
    • Experience or exposure to project coordination or supporting grant writing and reporting processes would be highly regarded.
    • Exposure to not-for-profit, grants administration, or stakeholder engagement environments is desirable.
  • IT
    • Proficiency in Microsoft Office or Google Workspace (particularly Excel/Sheets, Word/Docs, and Gmail).
    • Experience using CRM or database systems, with strong attention to data accuracy and record management.
    • Ability to produce basic reports and maintain well-organised digital filing systems.
  • Compliance
    • Current NSW Working with Children Check (or ability to obtain).
    • National Police Check within the last 12 months.
    • Ability to safely undertake manual handling within role requirements.
    • Willingness to complete AIATSIS Core Cultural training.
    • Lived experience or strong understanding of First Nations cultures and protocols.
  • Skills
    • Strong attention to detail and accuracy, particularly when working with data and reporting.
    • Well developed organisational and time management skills with the ability to manage competing priorities.
    • Strong communication skills, both written and verbal, with the ability to engage effectively across teams.
    • A proactive and solutions-focused approach to work, with the ability to anticipate needs and follow through on tasks.
    • Ability to work collaboratively in a small, fast paced team environment.
    • Interest in the not for profit sector, education equity, or STEM engagement initiatives.
    • Experience working with or supporting Indigenous led organisations or communities is highly regarded.
    • Ability to take initiative while also working within clear direction and established processes.
    • Strong respect for confidentiality and ethical handling of sensitive information.
