We are looking for an experienced Administrator to join our Facilities Team to support our Head Office site based in Basingstoke, Hampshire.

The successful candidate will have a proactive, customer-centred approach, and will support a small team covering a variety of administration tasks using Microsoft Office, as well as coordination of Agility which is our new Facilities Management system.

As part of the front of house team, this role will be a core part of our small Facilities team, ensuring an outstanding level of customer service to our visitors, employees and contractors that meets or exceeds their expectations.

Key Responsibilities

  • Be the team’s first point of contact answering enquiries via the phone, email, and Teams.
  • Support the Facilities department in delivering a consistent and efficient service across the site, including:
    • Monitoring of all maintenance works, and ensuring records are kept up to date
    • Booking contractors onto site, ensuring all paperwork is complete and up to date
    • Maintain operational databases (training will be provided)
  • Administering and supporting the purchase order process using SAP BYD, raising PO’s, goods receipting and sourcing quotes as and when required.
  • Assist in emergency situations as fire warden to ensure employees, visitors and contractors exit the building safely. (Fire Warden training will be provided as a requirement of the role.)
  • Cover reception and post room duties, as well as supporting the wider facilities team on other projects as and when required.

Contract type: Permanent

Working hours: Standard hours are Full Time (36.5 hrs per week (9am – 5:15pm Mon, 9am – 5pm Tues – Fri)). Part-time applications (minimum of 30 hours per week) may be considered.

Skills, Qualifications & Experience

  • The successful applicant will be highly organised, proactive and will have excellent interpersonal and communicational skills.
  • Strong administration experience is essential, with experience of Microsoft Office suite, Excel, Teams, Outlook and PowerPoint
  • You will have a committed approach to both proactive and reactive duties, always working to ensure a positive “customer experience”.
  • Self-motivated, able to work independently without direct supervision, and able to prioritise effectively.
