DCL Online Ltd is a UK-based property maintenance and project management company headquartered in Wimbledon, London. We work with estate agents, landlords, and private residential clients across London and Surrey, coordinating a high volume of property maintenance works each month.
We're looking for an exceptional, highly organised Executive Assistant / Personal Assistant to support the Director directly. This role starts part-time but is expected to grow into a full-time position as the business scales β we're looking for someone who wants this to become their main, full-time role over time, not part-time work fitted around other clients or commitments. You'll start by training alongside our Client Operations Administrator (COA) team to build genuine working knowledge of the business, before moving into direct, ongoing support of the Director as trust is established.
Key Responsibilities
- Business & operational support:
- Build working knowledge of the COA function β job coordination, CRM/scheduling systems, contractor and client liaison β through onboarding alongside the COA team
- Support recruitment coordination where needed: scheduling, candidate correspondence, shortlist tracking
- Help maintain oversight of the COA function once fully onboarded β liaising with the Operations Manager, tracking progress, and flagging issues early
- Keep master reference documents (handoff notes, trackers, schedules) accurate and current
- Draft and manage correspondence with estate agents, landlords, contractors, and suppliers where required
- Personal assistant support (scope increases as trust is established):
- General diary and inbox management for the Director
- Booking meetings, calls, and travel; handling logistics and confirmations
- Drafting and formatting documents, letters, and internal notes
- Ad hoc research, admin, and follow-up tasks as they arise
- Acting as a reliable first point of contact and gatekeeper where appropriate
Desired Experience & Qualification
- True, demonstrable EA/PA experience β not just general admin β ideally supporting a director, founder, or senior executive
- Genuinely looking for this to become a full-time role over time, not a part-time addition to other work
- Exceptional organisation and attention to detail; comfortable managing multiple live threads at once
- Proactive β takes ownership without needing to be chased, and rarely needs reminding
- Excellent written and spoken English
- Trustworthy with sensitive business and personal information
- Comfortable with remote-work monitoring/activity-tracking software during working hours
- Reliable high-speed internet, a suitable PC, and a quiet home working environment
- Prior exposure to property/CRM systems (e.g. PayProp, FixFlo, Jupix, MDA, PIMS, Onkey) is an advantage but not essential
Package & Remuneration
R12,000 β R15,000 per month, depending on experience, for the initial part-time hours (20 hrs/week). Pay is reviewed at the 3-month mark against demonstrated accuracy, initiative, and reliability. As the role grows into full-time (40 hrs/week), remuneration increases proportionately to R24,000 β R30,000 per month.
