Job overview


Responsible for a busy reception area, liaising with members of the general public, services and departments and external organisations, both face to face and over the phone.



  • Provide a friendly, helpful and professional service at all times.

  • Ensure that public areas are kept clean and tidy.

  • Provide comprehensive reception clerical and administrative duties, e.g. cash handling, banking, ordering stationery and supplies, receiving and distribution of incoming mail and parcel, franking and posting outgoing mail, answering all telephone queries and forwarding calls to appropriate services.

  • Supporting the administrative service to clinical services including Podiatry and Physiotherapy, e.g. registering patients; booking appointments both by telephone and at reception; monitoring waiting lists, liaising with clinical teams.

  • To provide sickness and absence cover at other Clinics/Health Centres when required.


Main duties of the job


Provide an effective reception service using verbal and written communication to liaise with patients, relatives, staff and external agencies to support the delivery of an efficient patient service. Ensuring all patients are booked into appointments correctly and directing them appropriately on arrival. Provide administrative support around waiting list for Podiatry patients as advised by the Podiatry team e.g registering new patients, appointment cancellation, and re-arrangement.



  • Advise podiatry leads of capacity and demand on

  • Support the monitoring, coordination of domiciliary lists

  • Provide administrative support to Physiotherapy services around appointment registering new patients, appointment cancellation, appointment re-arrangement

  • Escalate any urgent patient matters immediately to relevant clinical services. Monitor franking machine, downloading funds as required

  • Monitor and maintain self-check-in screens, reporting any faults

  • Manage and monitor the telephone answering service

  • Receipt all incoming mail and organise distribution.


Answer patient queries and signpost to appropriate local services.



  • Contact EMAS on the non pick-up of patients

  • Report and escalate site maintenance issues.

  • Support an efficient room booking service, ensuring rooms are not double booked

  • Printing/Photocopying

  • Maintain site emergency equipment as per Policy

  • When on duty to act as a Fire Warden

  • To provide cover for colleagues’ absence at base and other sites within the area.
