Responsibilities include:

  • Managing the busy switchboard and reception area, liaising with members of the general public and other services and departments, both DCHS and external.
  • Providing a friendly, helpful and professional service.
  • Ensuring that public areas are kept clean and tidy.
  • Performing comprehensive reception clerical duties, including ordering stationery and supplies, receipt and distribution of incoming/outgoing mail, and answering all telephone queries while forwarding calls to appropriate services.
  • Providing administrative services to the Podiatry department, including booking appointments both by telephone and face to face, monitoring waiting lists, and liaising with the podiatry team.
  • Coordinating all issues relating to the maintenance of the site with appropriate services.
  • Supporting and complying with all health and safety, fire, and infection control policies/procedures/legislation in conjunction with the appropriate departments/advisors.
  • Providing sickness and absence cover for colleagues across sites.
  • Delivering an effective reception service using verbal and written communication to liaise with patients, relatives, staff, and external agencies to support the delivery of an efficient patient service.
  • Ensuring all patients are booked into appointments correctly and directing them appropriately once they have arrived.
  • Handling telephone answering service for general enquiries and cancellations.
  • Receiving all incoming/outgoing mail and its distribution.
  • Using initiative and local knowledge to answer patient queries and signpost to appropriate local services.
  • Assisting Podiatry services by maintaining waiting lists, cancelling, moving, and booking appointments, and liaising with the Podiatry team.
  • Monitoring stock levels.
  • Reporting site maintenance issues and liaising with the DCHS estates department.
  • Providing efficient room booking services using the in-house system to ensure rooms are fully utilised and not double booked.
  • Printing and photocopying.
  • Maintaining site emergency equipment.
  • Other duties may be required in response to additional service needs.
