Responsibilities include:
- Managing the busy switchboard and reception area, liaising with the general public and other services and departments, both DCHS and external, providing a friendly, helpful and professional service.
- Ensuring the public areas are kept clean and tidy.
- Providing comprehensive reception clerical duties, including ordering stationery and supplies, receipt and distribution of incoming/outgoing mail, and answering all telephone queries while forwarding calls to appropriate services.
- Providing administrative support to the Podiatry department: booking appointments both by telephone and face to face, monitoring waiting lists, and liaising with the podiatry team.
- Coordinating all issues related to the maintenance of the site with appropriate services.
- Supporting and complying with all health and safety, fire, and infection control policies/procedures/legislation in conjunction with the appropriate departments/advisors.
- Providing sickness and absence cover for colleagues as required.
- Delivering an effective reception service using verbal and written communication to liaise with patients, relatives, staff, and external agencies to support the delivery of an efficient patient service.
- Ensuring all patients are booked into appointments correctly and directed appropriately upon arrival.
- Handling telephone answering service for general enquiries and cancellations.
- Receiving and distributing all incoming/outgoing mail as required.
- Using initiative and local knowledge to answer patient queries and signpost to appropriate local services.
- Maintaining waiting lists; cancelling, moving, and booking appointments while liaising with the podiatry team.
- Monitoring stock levels.
- Reporting site maintenance issues and liaising with the DCHS estates department.
- Providing an efficient room booking service using the in-house system to ensure rooms are fully utilised.
- Printing and photocopying.
- Maintaining site emergency equipment.
- Performing other duties as required in response to additional service needs.
