Role overview
DaVita (UK) Ltd is looking for a Facilities Administrator to be part of a small team providing both administrative and operative support to clinics and other departments. As a crucial member of the team, you will be supporting the growth of the Facilities Management team in delivering a front‐line service to our Teammates and patients. The role is office based at our head office in Colliers Wood and may require some travel to clinics across the UK.
Role requirement
- To support the Facilities Team with planning, organising and administrational functions for the smooth running of the facilities operations.
- Take ownership of our CAFM system ensuring PPMs are created and updated (site specific) and reactivity is processed effectively and efficiently.
- Working with the Facilities Management team, to produce monthly progress reports reviewing the highlights of our service and KPIs.
- Communicate the intentions and plans, on behalf of FM department, to sites applicable to the role.
- To communicate with ROMs, Clinic Manager and Contractors, arranging access and to ensure all arrangements are in place to conduct works and repair.
- To maintain dialogue, routine updates and records to track auditable information.
- To arrange access (both Landlord's areas and demised areas) for any planned essential works such as Planned Preventative Maintenance works.
- To ensure all the records of planned maintenance and servicing activities are updated and audit ready.
- Responsible for recording and escalating relevant information on all Services and Suppliers relating to Facilities Maintenance and provide administrative support to Facilities.
- Be the first point of contact for the on-site Facilities Team in relation to telephone enquiries, emails and letters. Where appropriate deal with the correspondence proactively and reply on behalf of the Facilities Team. If necessary, pass the query to the relevant department or function, following up to ensure the query is dealt with in a timely manner.
- Accept calls out of hours to support the on-call team when required.

- Experienced with a background in Facilities Management
- Experienced with CAFM systems
