Description

We are looking for an experienced and proactive Hire Supplier Operational Manager to lead and streamline our claims hire supply operations. This role is pivotal in managing a diverse fleet and coordinating with hire suppliers to ensure the prompt and efficient delivery of replacement vehicles to customers following insurance claims. The ideal candidate will have a strong background in fleet or hire management within the insurance or accident management sector, with a focus on operational excellence, supplier performance, and customer satisfaction. A key part of the role involves maintaining high availability and rapid turnaround times, ensuring vehicles are sourced and supplied quickly to meet service level agreements and support the claims process effectively.

Operational Management:

  • Oversee daily operations, including fleet management, maintenance schedules, and vehicle dispatch.
  • Develop and implement operational policies and procedures to ensure efficiency and consistency.
  • Monitor key performance indicators (KPIs) to track performance and identify areas for improvement.

Team Leadership:

  • Manage, train, and motivate a team of drivers, coordinators, and support staff.
  • Foster a positive working environment that encourages collaboration and high performance.
  • Conduct regular performance reviews and provide constructive feedback.

Customer Service:

  • Ensure high standards of customer service by addressing client enquiries, complaints, and feedback promptly.
  • Work closely with the sales and marketing teams to align service offerings with customer needs.

Fleet Management:

  • Ensure the hire car fleet is well-maintained, roadworthy, and compliant with safety and legal standards.
  • Coordinate vehicle procurement, disposal, and maintenance schedules.

Compliance and Risk Management:

  • Ensure all operations comply with industry regulations, licensing requirements, and health and safety standards.
  • Develop and implement risk management strategies to minimize operational disruptions.

Financial Oversight:

  • Manage operational budgets, control costs, and identify opportunities for cost savings.
  • Analyse financial reports and make data-driven decisions to optimize profitability.

Technology and Systems:

  • Leverage technology to improve operational efficiency, such as fleet management software and booking systems.
  • Stay updated on industry trends and recommend innovative solutions to enhance operations.

Knowledge and Abilities:

  • Foster a positive and ethical working climate conducive to attracting, retaining, and motivating a diverse group of high-performing employees.
  • Implement business strategies that maximize hire conversion while controlling operational costs.
  • Establish comprehensive goals for operational teams of around 60FTEs to achieve high performance and quality service, aligned with our business priorities, organizational culture, principles, and purpose.
  • Develop and sustain motivated and skilled teams through effective leadership, development, mentoring, and coaching.
  • Use knowledge and data to challenge current assumptions and drive change.
  • Manage relationships with internal and external customers and suppliers throughout the entire hire process, across various levels.
  • Influence and support the budget-setting process, ensuring clarity and commitment from the operations team.
  • Guarantee adherence to all policies and protocols concerning Security, Health and Safety, and Governance within the operation.
  • Meet customer, legal, compliance, and regulatory requirements.
