We are seeking a professional, proactive individual with excellent administrative skills to provide a confidential, streamlined service to the Executive Assistant. This role will be based at our head office.
Responsibilities:
- Provide day-to-day administrative and general support to the Executive Assistant.
- Respond positively and proactively to work issued directly by the Executive Team.
- Scheduling appointments and organising diary entries.
- Setting reminders for meetings and appointments, acting as ‘gatekeeper’ to meeting requests, ensuring adequate time allocation/travel time for meetings.
- Assist with travel and hotel arrangements.
- Taking notes at meetings, preparing the minutes and subsequently distributing to all participants.
- For agreed stakeholders, screen and action emails and telephone calls as instructed by the EA.
- Provide e-mail management support including organisation and filtering of e-mail inbox.
- Assist with planning and delivery of corporate and special events.
- Produce, print, collate information, organise and ensure the distribution of papers/reports in advance of meetings and seminars.
- Support with dealing with direct contact with customers.
- Conduct relevant research on behalf of the EA.
- Follow up on agreed action items from meetings.
- Provide administrative support to associated businesses as required by the Executive Team.
- Deputise for the EA in their absence.
- File management including collating and filing expenses.
Qualifications:
- Strong verbal and written communication skills is essential.
- Excellent attention to detail.
- Excellent organisation and people management skills.
- Ability to prioritise and multitask efficiently.
- Ability to respect confidentiality whilst also acting with discretion and tact is essential.
- Proficiency in Microsoft Office programs.
- Full UK driving licence is essential.
