InsTech is a Datos Insights company, a global community and media platform connecting insurance, technology, and innovation. We bring together insurers, brokers, technology and data providers, and investors to share insights, showcase innovation, and explore opportunities that are shaping the future of insurance.
InsTech runs a busy events programme spanning from webinars, private dinners, roundtables, networking evenings, evening events to multi-day conferences. The Events Associate role takes full ownership of the smaller events; webinars, dinners and networking events.
Each of these events has a defined process running from the moment a sponsor signs through to the final invoice. This role owns all of it: the venue, the platform build, the registration, the sponsor and speaker management, the delivery on the day and the reporting afterwards. Several events will typically be live at once and at different stages, so the role requires someone who can multitask and manage multiple small events at the same time. This role would suit someone who currently has a supportive role in event management and is looking to take the next step to manage their own portfolio.
- Research and negotiate with venues, caterers and AV providers.
- Gather quotes, secure bookings and produce function sheets.
- Manage supplier relationships across the events portfolio.
Registration & Platform Management
- Set events up on Swoogo, BrightTALK and the website.
- Build HubSpot workflows and lists to support registration.
- Manage the tickets inbox and report on registration numbers weekly.
Sponsor Management

- Set expectations early with clients and check in regularly through each event’s lifecycle.
- Co-ordinate with Marketing on visual assets and website copy.
- Co-ordinate with the Sales teams when the events get handed over
Speaker Co-ordination

Project & Budget Management

- Manage post-event communications and feedback collection.
- Report on event performance to inform future events.
