We’re supporting a global insurance firm in London to hire an outstanding Business Support & Executive Assistant to sit at the centre of their executive and office operations. This is a high-visibility role supporting senior leaders and committees, combining classic EA responsibilities with office management, governance support, and involvement in business change initiatives. It suits someone who is calm under pressure, detail-driven, and trusted to operate confidently with senior stakeholders.
The role:
- You’ll provide end-to-end business and administrative support to the Executive Management Team and senior functions, ensuring the smooth running of executive schedules, meetings, travel, and governance activity, while also playing a key role in office operations.
Key responsibilities include:
- Complex diary and calendar management across UK and international time zones
- Full coordination of executive travel, meetings, and events (including compliance documentation)
- Supporting senior teams with meetings, minute-taking, action tracking, and presentations
- Acting as Secretary to assigned committees: agendas, pre-reads, minutes, actions, and follow-up
- Supporting office management, visitors, and internal/external events
- Monitoring expenses and invoices aligned to monthly financial close
- Acting as a Business Change Champion, supporting IT and operational change initiatives
About you:
- Proven experience as an Executive Assistant / Business Support professional, ideally within insurance, financial services, or a professional services environment
- Exceptionally organised with strong attention to detail
- Confident supporting senior executives and committees
- Strong written and verbal communication skills
- Highly proficient in Microsoft Office
- Adaptable, discreet, and comfortable working at pace
