Datacenter People are helping their client to hire a Document Controller for a project based in Chelveston, Northampton. As the Document Controller you will be responsible for managing the flow of documentation across the design, construction, and handover phases of critical infrastructure projects. This role ensures that all project documents are controlled, distributed, stored, and reported in line with client, regulatory, and quality requirements. The postholder will also support broader coordination tasks within the delivery team to maintain project efficiency and compliance.
Key Responsibilities:
- Establish, implement, and maintain a structured document control system aligned with client and project standards.
- Create and manage document/drawing numbering conventions, folder hierarchies, and metadata requirements.
- Process, log, and track all incoming and outgoing documentation including drawings, RFIs, submittals, and correspondence.
- Maintain document registers and version control, ensuring audit trails are complete and accurate.
- Perform regular quality checks to ensure documentation complies with agreed naming conventions and content requirements.
- Liaise with general contractors, consultants, and internal project teams to coordinate document submissions and approvals.
- Represent the client during document control reviews, handovers, and audits.
- Support the delivery team with real-time status updates on document readiness, RFS milestones, and O&M submissions.
- Assist with meeting coordination, action tracking, and production of reports and presentations.
- Implement and maintain document management systems such as SharePoint, Aconex, and Procore.
- Support onboarding of team members onto document control platforms and processes.
- Assist in identifying improvements to document workflows and compliance monitoring.
- Generate and maintain trackers and dashboards for document progress, review cycles, and outstanding items.
- Prepare reports for senior management, summarising document readiness and delivery compliance.
- Support audits and QA reviews by ensuring traceability of all controlled documents.
Skills & Experience:
- Experience working in document control and coordination roles within construction or data centre environments - Ideally General Contractor/Developer side.
- Proficiency with EDMS platforms (e.g. SharePoint, Procore, Aconex).
- Understanding of ISO standards, QA processes, and RFS/O&M handover procedures.
- Strong organisational and communication skills with the ability to manage competing priorities.
- Experience supporting cross-functional project teams and interfacing with client representatives.
