This position is located at Biochrom, an affiliate of Harvard Bioscience, a long-established global company that has been developing scientific and is in Cambridge, United Kingdom.
THE OPPORTUNITY
As part of this global organization, the client services function plays a key role in ensuring smooth and efficient order processing, accurate communication, and excellent customer support and will office in our Cambridge, UK office. Reporting to the Manager, Client Services EMEA, the Client Services Coordinator is responsible for the complete handling of incoming customer orders and related administrative processes. The role will cover all activities involved in the receipt and processing of customer orders, ensuring they are managed efficiently, accurately, and in alignment with internal procedures. Using the Company's ERP system, the coordinator ensures timely, error-free order processing to support a seamless customer experience.
Essential Job Functions
- Order Processing & Coordination
- Receive, record and process international customer orders using Navision.
- Issue order confirmations and maintain accurate documentation.
- Coordinate delivery dates with production and purchasing teams.
- Monitor deadlines and follow up to ensure commitments are met.
- Coordinate any additional costs (e.g. shipping and discounts) with sales team.
- Handle customer complaints professionally and efficiently.
- Act as a key point of contact for customers and sales partners worldwide.
- Provide clear, friendly, and reliable communication throughout the order cycle.
- Ensure customer queries and issues are resolved promptly.
- Maintain accurate data in Navision, including creating new entries and updating existing records.
- Support ongoing data quality and system accuracy.
- Work closely with cross-functional teams including production, purchasing, sales, marketing, R&D, IT and finance.
- Ensure smooth workflow and timely exchange.
- Participate in continuous improvement initiatives where relevant.
Skills and Abilities Required
- Bonus skills and experience: Navision ERP, Sales Force.
- Completed traineeship.
- Good knowledge of common IT tools (Microsoft suite, Excel, Word).
- ERP knowledge.
- Strong communication skills and the ability to work effectively with internal and external stakeholders.
- Very good written English.
- Must be able to speak and write in English.
- Experience in a Client Services role or comparable role working with customers.
- Team-oriented mindset.
- High resilience and flexibility to complete tasks in a timely manner.
- Friendly, calm and objective.
- Professional, reliable and organized approach to work.
