We are looking for an organised and proactive Consulting Co-Ordinator to join our team in Belfast. You will take full ownership of the coordination, chasing and forward planning that helps our People realise their potential. This is a highly visible role at the centre of how we bring our People to our clients. You've got to love people and data - it's an unusual combination.
What you'll be doing:
- Own end-to-end coordination and preparation of the client interview process: preparing, scheduling, rescheduling keeping all parties, candidates, consultants, clients and interviewers on track
- Prepare, share and follow up on feedback promptly with candidates, consultants and clients, so it is acted on and doesn't stall the next stage
- Chase and follow up proactively, by phone as well as email, so interview stages don't stall waiting on a response
- Track every candidate and interview in flight, flag risks early and keep a forward view of what's coming up over the next one to four weeks
- Act as the point of contact for interview logistics, giving candidates and clients a consistently professional experience
- Identify friction and inefficiency in the current process and propose practical fixes, rather than working around them
- Design, build and continuously improve the systems, trackers and workflows used to run the process, keeping them up to date
- Report regularly to the Consulting Leadership Team and wider Leadership Team on pipeline status, bottlenecks and progress against timelines
- Work closely with Consulting Leadership Teams, Business Development teams and client-facing teams to keep the process aligned with business priorities
You'll need to bring:
- A passion for data - the ability to research, structure, organise and present
- A passion for people - the ability to organise, communicate and often be the CRO (Chief Reminding Officer) - focus on the outcomes
- Energy, drive and persistence - comfortable chasing the same person more than once without it fazing you
- Experience in a coordination, resourcing or client-facing scheduling role
- Confidence to pick up the phone and have a direct conversation with our People
- A willingness to challenge a process, a delay or a lack of response
- Strong working knowledge of scheduling and tracking systems (e.g. ATS platforms, calendars, spreadsheets), with the ability to design, run and optimise a process
- Excellent organisational skills and attention to detail with the ability to manage multiple live processes at once
- Strong written and verbal communication skills
- An interest in learning
