Our client is seeking an experienced Warehouse Administrator to support the day-to-day running of 10 warehouses ensuring accurate stock control, smooth customer communication, timely billing, and efficient operational processes. You will work closely with the Warehouse Manager and warehouse teams to maintain accurate records, streamline admin tasks, and help improve operational efficiency.
Duties:
- Stock Management & Record Keeping
- Maintain and update customer stock spreadsheets daily, ensuring accuracy and consistency across all warehouse locations.
- Process stock movements including goods-in, goods-out, relocations, and adjustments.
- Reconcile physical stock counts with digital records and investigate discrepancies.
- Produce weekly and monthly stock reports for internal use and customer distribution.
- Monitor stock ageing, turnover, and storage utilisation.
- Capacity Planning & Warehouse Coordination
- Track available storage space across all 10 warehouses and flag capacity issues in advance.
- Assist in planning stock allocations and warehouse layout adjustments to maximise efficiency.
- Liaise with warehouse supervisors to coordinate incoming deliveries, dispatches, and customer collections.
- Maintain up-to-date warehouse maps, racking plans, and capacity spreadsheets.
- Customer Management & Communication
- Act as a first point of contact for customer enquiries regarding stock levels, deliveries, collections, and storage requirements.
- Prepare and send customer stock reports, confirmations, and updates.
- Support onboarding of new storage customers, including setting up spreadsheets, documentation, and communication channels.
- Handle customer issues professionally and escalate operational concerns when needed.
- Billing & Financial Administration
- Collate monthly storage charges for all customers based on stock levels, pallet counts, or agreed pricing structures.
- Prepare invoices or billing summaries for the accounts team.
- Track additional charges such as handling fees, container unloading, or special services.
- Maintain accurate financial records related to storage activity.
- General Administrative Support
- Maintain organised digital and physical filing systems for customer records, stock sheets, delivery notes, and warehouse documents.
- Assist with creating and improving templates, spreadsheets, and internal processes.
- Support compliance tasks such as health & safety documentation, equipment checks, and audit preparation.
- Schedule meetings, site visits, and customer appointments when required.
- Provide general administrative support to the Warehouse Manager and warehouse teams.
Skills Required:
- Strong experience with Excel (formulas, data entry, formatting, pivot tables desirable).
- Previous experience in a warehouse, logistics, or stock-related admin role is preferred.
- Excellent attention to detail and accuracy in data handling.
- Strong communication skills, both written and verbal.
- Ability to manage multiple tasks across multiple warehouse sites.
- Comfortable working independently and taking initiative.
