What you’ll do (the highlights)
The Administrative Assistant – Programming provides day to day support to the Manager of Quality Care and fulfills administrative tasks associated with the Programming Team including, but not limited to, Transportation, Specialized Support and Resource Services (SSRS) and Client Accounts. The position of Administrative Assistant – Programming functions in a manner consistent with and supports the mission, vision, and values of DASCH.
What that looks like:
- Working Full-Time Monday-Friday days in an office-based position.
- Must be able to flex hours based on operational needs.
- Occasional evening or weekend hours may be needed.
- Receive support and guidance from the Manager of Quality Care.
- Assist with administrative support as required within the Programming Team.
- Assist the Client Accounts Manager in auditing monthly financials and providing support when required.
- Complete van audits as required.
- Send reminder emails to locations regarding Van Documentation submissions.
- Review and communicate issues (errors or omissions) regarding Van Documentation submissions.
- Review invoices as they are received, including but not limited to MPI, Co-Op, Birchwood, Service, Dr. Hook, Duffy’s and Speeding/Parking Tickets.
- Coordinate vehicle appointments when required.
- Assist with licensing preparations and maintain licensing files.
- Maintain the person supported green files at the Support Center including the filing of pertinent information as required.
- Review and upload Location Orientations onto the HRIS.
- Maintain the Program Manager discretionary budgets, providing them with balance updates monthly.
- Maintain strict confidentiality of sensitive information including client records, financial data, and internal communications in accordance with DASCH policies and applicable privacy legislation.
- Complete audits as assigned including, but not limited to financial, employee orientation, licensing, and person supported information.
- Provide front desk support as needed on a rotational basis.

- Minimum of two years’ administrative experience.
- Proficient in the use of Microsoft Office, including Word, Excel, Outlook, PowerPoint and Teams.
- Valid driver’s license with access to a reliable vehicle during working hours is required.
- Experience in the use of Human Resource Information Systems (HRIS), Customer Relationship Management (CRM), and Document Management Systems.
- Ability to work outside of normal business hours based on occasion based on operational needs.
