Join Our Team as a Personal Assistant! As a Personal Assistant, you will work closely with a designated Partner, providing dedicated support to enable them to carry out their responsibilities effectively. Your role will involve managing day‐to‐day administrative tasks, including handling calls, coordinating diaries, scheduling meetings, taking comprehensive notes, and making necessary arrangements such as travel and logistics. In addition, you will offer flexible support to the wider accounting function as needed to ensure smooth and efficient operations across the firm.
Role & Responsibilities
- Provide administrative support to your allocated Partner and team
- Answer and direct incoming telephone calls in a professional and timely manner
- Accurately take messages, ensuring all key details are captured and passed on promptly
- Monitor team members’ emails during periods of absence or holiday
- Organise Partner Away Day meetings, networking events, and other team-related activities
- Attend meetings when required and produce clear, accurate meeting notes
- Manage diaries, schedules, and general arrangements for the Partner and wider team
- Act as a first point of contact where appropriate, providing professional and friendly assistance
- Provide support to other departments or reception during staff absence or peak periods
- Set up new clients on the system and request all necessary documentation as part of the onboarding process
- Prepare, check, and send correspondence to clients as requested by Partners or Managers
- Manage the incoming and outgoing return of client records in an organised and timely manner
- Scan, upload, and maintain documents accurately within the CRM system
- Check engagement letters for expiry and arrange updates or renewals when needed
- Manage or assist with statutory tasks within the department, ensuring all filings and compliance requirements are completed accurately and on time
- Assist with raising of fee notes to support as required
- Supporting the department with administrative tasks as required
Required Experience
- 5 GCSEs C (4) or Above, including English and Maths
- Intermediate level Excel and Word knowledge
- Ability to show initiative and work within a team
- Ability to manage deadline and prioritise work effectively
- Ability to build good client relationships
- Excellent communication and interpersonal skills that enable you to build rapport with people at various levels
- Strong organisational skills and the ability to manage own workload in a timely manner while all the time ensuring we exceed client expectations
Desired Skills
- Office management or administration management experience desirable but not essential
- Accounts production software such as CCH desirable but not essential
- Full UK Driving Licence
