1. Overall Purpose
This post provides high quality and confidential administrative support to the Executive team (consisting of CEO and Principal, Deputy CEO and Principal, CFO and Assistant Principal). Generic skills such as tact, diplomacy and discretion in handling confidential work are vital, as well as the ability to work with a wide range of internal and external visitors to the Executive Office. Whilst there are similarities in the work undertaken by both Executive PAs, there are also some differences and this post, reporting directly to the Deputy CEO and Principal, majors around aspects of the curriculum and involves close working links with curriculum managers, teachers and support workers and parents/guardians.
2. Specific Accountabilities to Support the Deputy CEO and Principal and Assistant Principal (Curriculum related)
- The postholder will be a central link in the curriculum management of the College.
- Use College systems to extract information in relation to timetables, students, teachers, room usage, attendance, achievements.
- Liaise with Quality in relation to lesson observation arrangements for the Deputy CEO and Principal and Assistant Principal.
- Maintain accurate arrangements and records of Student Disciplinary events which may involve the Assistant Principal or the Deputy CEO and Principal.
- Co-ordinate an annual cycle of curriculum planning and weekly curriculum management meetings, with effective follow-up of actions.
- Support the Deputy CEO and Principal in preparing the College’s annual cycle of self-assessment reporting and assist with Ofsted inspection visits.
3. Executive Accountabilities
- Liaise with the Executive Office Manager/PA to co-ordinate the day to day running of the Executive office.
- Act as a first point of contact for members of the Executive team.
- Maintain the Executive team electronic diaries, arrange appointments, organise meetings and the scheduling of internal and external visitors.
- Organise and provide admin support to meetings - planning, drafting agendas, minute taking and follow up of action points arising from meetings.
- Provide wider admin support (letters, reports, emails, etc) following house style.
- Arrange and confirm hotel and travel plans for the Executive team.
- Manage the flow of telephone calls to the Executive Office, screening calls and taking messages to ensure callers receive a high quality and timely response.
- Assist the Director of Governance to finalise agendas and collate papers for circulation to the Board of Governors.
- Support the maintenance of electronic and paper filing systems.
- Co-ordinate daily the flow of correspondence into and out of the Executive office.
- Maintain effective communications with the College’s key Business partners.
- Maintain the confidential nature of the work of the Executive team.
- Co-ordinate the distribution of internal communications to the wider staff body and collate any staff suggestions.
- Administer a consumable budget.
- Perform other such duties commensurate with the grade of the post, as required by the Executive team.
At all times deliver a professional approach in all aspects of work, treating all staff, students and the wider college community with respect.
