Role Purpose

To effectively support the Nursing Service through strong administration, organisation, and proactivity. Work effectively within the small team of 3 administrators to provide, but not limited to:

  • Smooth onboarding process for our nurses
  • Seamless coordination of training invites
  • Annual checks and monitoring of DBS and NMC registration
  • Accurate spreadsheets and trackers for training within nursing using Excel
  • Managing all emails and tasks received into the careline inbox
  • Smooth processes for raising purchase orders

Key Activities

My Connex email inbox

  • Manage and take full accountability for processing all emails and tasks received into the Careline inbox on a daily basis
  • Review and triage incoming queries from Healthcare Professionals (HCPs), prioritising actions based on urgency and patient need
  • Register new patients into a draft status
  • Generate nurse tasks from HCP queries

Onboarding of Nurses

  • Initial contact regarding nursing onboarding
  • Inviting and monitoring training
  • Uniform ordering
  • People Safe or equivalent registration

DBS/NMC

  • Annual checks and up‑to‑date records
  • Maintaining trackers using Excel

General Administrative Support

  • Including storage PODs; ordering of uniforms, stationery and boot stock; raising purchase orders; running training feedback reports; supporting with the development and maintenance of standard operating procedures
  • Admin support with NHS.NET emails
  • Admin support for customer services and prescription services
  • Support with spreadsheets including out of hours
  • Monthly newsletter
  • Ordering literature from CPG and distributing to the wider nursing team
  • Providing invites and monitoring attendance for annual training for nurses
  • Using Excel – maintaining trackers and reports for nurse training

CQC/SCI

  • Responsibility for updating and maintaining relevant databases to ensure audit (including CQC and SCI) compliance. This includes collating detail around mandatory and other learnings and having this data up‑to‑date and available for review

About You

  • Educated to GCSE Maths/English Grade A‑C or equivalent
  • Strong IT skills including competent use of Word, Excel, and PowerPoint
  • Extensive experience working in an administrative capacity
  • Excellent organisational and prioritisation skills
  • Excellent attention to detail
  • Team player

  • Comfortable working with and directing team members more senior than they are

Salary Bracket £25,000‑£26,000
