Summary of your role:
To oversee and manage the Employee Relations (ER) function within the People & Culture team, with a focus on supporting the People Experience Advisors. The ER Lead will be responsible for managing complex employee relations cases, grievances, disciplinaries, as well as engagement activities, ensuring the company\’s compliance with employment laws and regulations. This role will also focus on developing proactive strategies to improve on-site employee engagement and drive a positive workplace culture.
This role will report to the Head of People & Culture, and be part of the People Experience Team.

KEY RESPONSIBILITES

  • Employee Relations Management:
  • Lead and oversee the management of all employee relations cases, including grievances, disciplinaries, and investigations including absence management.
  • Provide support and guidance to People Experience Advisors in handling complex employee cases.
  • Act as a point of escalation for all ER issues, ensuring timely and effective resolutions.
  • Support the Head of People & Culture in managing high-risk cases and ensuring legal compliance.
  • Work across the Operations functions to ensure that they are educated on best practice and supported with dealing with employee issues.

Engagement and Case Management:

  • Drive initiatives to improve employee engagement and address root causes of grievances.
  • Manage the case management system, ensuring all cases are logged, tracked, and reported accurately.
  • Conduct regular case review meetings with People Experience Advisors to ensure consistency and compliance.
  • Produce weekly, monthly and quarterly reports on ER trends, case resolutions, and engagement metrics for the wider People & Exec teams.

Policies and Compliance:

  • Ensure that all employee relations processes align with current employment laws, GDPR, and internal policies.
  • Update and maintain the policy library, ensuring our supportive tone of voice is relayed in our key policies, and that they are managed and reviewed regularly including any changes to legislation.
  • Lead upskilling sessions across the organisation to update them on changes to employment law, with an awareness of what this will mean for them in the day job and how to put into practice any changes.
  • Collaborate with the compliance team to prepare for audits and ensure adherence to internal and client governance standards.

At-Risk Support:

  • Lead the At-Risk management process with support from the wider People and Operations team to plan, using data and local operational insight to prepare and reposition employees wherever possible, bringing together relevant stakeholders to create action plans.
  • Work closely with Operational teams to mitigate financial risk, reduce settlement costs where necessary and support redeployment to maximise margin for the organisation and prevent escalation of issues.

Proactive Support & Training:

  • Deliver training sessions for People Experience Advisors on best practices in managing employee relations.
  • Provide coaching and support to Labour & Operations Managers on handling sensitive employee issues, fostering a fair and inclusive workplace.
  • Develop proactive strategies to reduce the recurrence of grievances and disciplinaries.

Data Management & Reporting:

  • Analyse ER data to identify patterns, trends, and opportunities for improvement.
  • Prepare detailed reports for Exec / SLT / Strategy meetings, highlighting key issues, resolutions, and preventive measures.
  • Manage the end-to-end effective use of Access CRM and case management software/systems for tracking employee cases and maintaining accurate records, providing recommendations to improve automation and self-service wherever possible.

Other:

  • Ensure the PX team is utilising the GROW performance and support programme.
  • Responsibility of sharing any workforce surveys, and communicating the \’you said – we did\’ results.
  • Absolute confidentiality, integrity, reliability, and responsibility. Set goals, evaluate and monitor performance of the People Experience team; address any issues within the department in a calm and professional manner.

KPI / PERFORMANCE

  • Case Resolution Time: Average time taken to resolve employee relations cases.
  • ER Volumes & Trends: Number & type of ER cases handled.
  • Legal & Policy Compliance: Number & types of ER cases in compliance legislation & policy.
  • Gender Pay Gap: Minimum wage and gender pay reporting and checks.
  • Revenue Optimization: Impact of ER strategies on overall business profitability and cost minimisation.
  • Contract accuracy: Ensuring contracts are permanently accurate for audits and reviews.

KEY COMMUNICATION

  • Quarterly HR Service Delivery reviews with Heads of Department and Ops Directors.
  • Provide reviews with Executive and Leadership team.
  • Conduct regular stakeholder meetings to align initiatives with business needs.
  • Deliver opportunistic and quarterly reviews where necessary.
  • Collaborate with other teams, including Social Value, Training, Health & Safety, and Wellbeing.
  • Ensure consistent communication across all levels of the business, supporting alignment and understanding.
  • Case Management is updated and shared with the Head of People each month.
