We are currently recruiting for 5 Document Controllers to join a major infrastructure and engineering programme based in Glasgow. These are excellent opportunities to become part of a high-performing Information Management team supporting the delivery of a large-scale, complex project.

The Opportunity

As a Document Controller, you'll play a critical role in ensuring project information is accurately managed, controlled, and distributed throughout the project lifecycle. Working closely with delivery teams and information management professionals, you'll help maintain compliance, support project milestones, and ensure information flows efficiently between stakeholders.

This position offers a hybrid working arrangement, with 2 days per week in the Glasgow office and the remainder working from home. There is no requirement for site travel.

Key Responsibilities

  • Document & Workflow Management
    • Manage document workflows through internal review and approval processes.
    • Ensure information progresses through defined workflow stages in line with project requirements.
    • Validate documentation prior to submission.
    • Maintain accurate document status, revision control, and approval records.
  • Information Submission & Control
    • Coordinate the submission of project information to external stakeholders and client systems.
    • Apply metadata, naming conventions, status codes, and revision control requirements.
    • Manage formal transmittals and records of information exchange.
    • Track approvals, comments, and responses to support project delivery.
  • Quality & Compliance
    • Ensure all submissions comply with project standards and contractual requirements.
    • Identify and return non-compliant information for correction.
    • Maintain complete audit trails and support information assurance activities.
    • Act as a key compliance gatekeeper within the document control process.
  • Reporting & Team Support
    • Produce reports covering document status, approvals, outstanding actions, and workflow performance.
    • Support project teams with guidance on document control procedures and requirements.
    • Help maintain visibility of information progress across the project.
  • Continuous Improvement
    • Promote best practice and consistent document control standards.
    • Identify opportunities to improve workflows and information management processes.
    • Support onboarding, offboarding, and controlled access procedures where required.

About You

  • Previous experience as a Document Controller, Information Coordinator, or similar information management role.
  • Strong understanding of document control processes, compliance requirements, and information governance.
  • Experience using Common Data Environments (CDEs) and document management systems.
  • Excellent organisational skills and attention to detail.
  • Strong communication and stakeholder management skills.
  • Experience within construction, infrastructure, engineering, utilities, or major projects is desirable.

Additional Requirements
