The Executive Assistant is responsible for serving as the primary point of contact between the President, Resins, Filtration & Media (RFM) and key internal and external stakeholders, including executives, partners, clients, and investors. In this role, you will be accountable for results-oriented organizational proficiency and strategic administrative support, while handling the demands of a fast-paced environment. This position reports to the President, Resins, Filtration & Media (RFM). The role is located in Amersham or Stevenage in the UK and will be an on-site role.
What you will do:
- Provide comprehensive administrative support, including proactive calendar management, travel arrangements, expense reporting, and logistics for President and selected L1 leaders.
- Efficiently manage the calendar by organizing meetings, appointments, and events. Proactively resolve scheduling conflicts and ensure optimal time allocation for strategic priorities.
- Act as a gatekeeper and liaison, handling incoming and outgoing communications. Draft, proofread, and manage emails, letters, and other correspondence with professionalism and discretion.
- Prepare materials for meetings, including agendas, presentations, and briefing notes. Attend key meetings to take minutes, track action items, and ensure timely follow-up and execution. Help support communication where needed, e.g. town hall coordination.
- Plan and coordinate complex travel arrangements, including flights, accommodations, visas, and ground transportation. Prepare detailed itineraries and manage changes or disruptions as needed.
- Handle sensitive information with the utmost confidentiality. Support the President with research, data gathering, and execution of special projects, often involving cross-functional collaboration.
- Collaborate with other executive assistants to ensure cross-functional coordination and continuity of administrative support during absences or periods of high activity.
Who you are:
- Experienced Executive Assistant professional with 5+ years experience and a strong background in supporting senior executives (President, SVP, CEO).
- Exceptional organizational skills with a pro-active approach and the ability to manage competing priorities, anticipate needs, and operate effectively in a dynamic, fast-paced environment.
- Comfortable handling sensitive information with discretion and professionalism, especially in the context of confidential strategy discussions, talent & development conversations and M&A-related activity.
- Advanced proficiency with MS Office (Outlook, PowerPoint, Excel, Word), experience with collaboration tools such as Teams, and SharePoint and AI tools such as 365 Copilot and prompt engineering know-how.
- Strong verbal and written communication skills, with an ability to synthesise information and support the creation of professional presentations and briefing materials.
