About the Role
We’re looking for a highly organised and detail-oriented Wholesale Operations & Distribution Administrator to support the smooth running of Damson Madder’s wholesale and distribution operations. This role plays a key part in ensuring the accurate processing of orders, inventory records, invoicing, and customer information, acting as a central point of coordination between Sales, Production, Finance, warehouses, 3PL partners, and wholesale accounts. The ideal candidate will bring previous administrative experience within wholesale, distribution, or logistics, a strong understanding of operational processes, and the ability to manage multiple priorities while maintaining exceptional attention to detail.
Duties And Responsibilities
- Provide day-to-day administrative support across wholesale fulfilment and distribution processes.
- Liaise closely with the Wholesale, Production, and warehouse teams to coordinate orders and delivery schedules.
- Assist in monitoring inventory levels, ensuring stock records are accurate and up to date.
- Maintain accurate records of orders, shipments, invoicing, and inventory movements across internal systems.
- Follow up on order discrepancies, shipping delays, and product returns, escalating issues where necessary to ensure timely resolution.
- Communicate with wholesale clients to provide accurate order updates and delivery information.
- Ensure all documentation and operational processes align with specific customer requirements and compliance standards.
- Support the wider operations team with general administrative and ad hoc tasks as required.
Skills And Experience Required
- Previous experience in an administrative role within wholesale, distribution, logistics, or operations.
- Strong organisational skills with a high level of accuracy and attention to detail.
- Experience processing orders, invoices, and operational documentation.
- Ability to prioritise effectively and manage multiple tasks in a fast-paced environment.
- Confident written and verbal communication skills.
- Comfortable working with spreadsheets, databases, and internal systems.
- Ability to collaborate effectively with internal teams and external partners.
- Understanding of wholesale, distribution, or supply chain processes, including inventory management and invoicing.
- Familiarity with warehouse operations and third-party logistics (3PL) providers.
- Strong awareness of the importance of compliance, accuracy, and structured record-keeping.
