We are looking for a highly organised and proactive Operations Assistant to support the smooth running of our transport, warehouse, and coldstore functions. This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and can maintain high standards of compliance, communication, and operational efficiency.

Location: Whistler Drive, Castleford, WF10 5HX

Salary: £14.35 p/h

Hours: Monday to Friday, (25 hours) 9am - 2pm

Offer is subject to a satisfactory drugs & alcohol test.

Main Responsibilities:
  • Schedule and coordinate bi-weekly vehicle Preventive Maintenance Inspections (PMIs), MOT tests, and tachograph calibrations.
  • Manage driver tachograph uploads, manual data entries, and conduct driver debriefs.
  • Monitor work permits, conduct composite panel checks, and perform internal and external audit actions and checks.
  • Arrange training sessions for staff when necessary.
  • Organise same-day courier services.
  • Plan and manage shifts for drivers, cold storage, and warehouse staff, including holiday and sickness cover.
  • Maintain and update the vehicle PMI schedule, and ensure all legal vehicle documentation is accurate, checked, and filed.
  • Coordinate the resolution of missed orders and delivery errors, whether for same-day or next-day deliveries.
  • Manage overhead costs and process purchase orders (POs).
  • Oversee insurance reporting and accident documentation, providing advice as needed.
  • Facilitate ongoing communication between departments to promote continuous improvement.
  • Support record-keeping and data reporting to ensure accuracy and compliance with standards.
  • Assist in meeting key performance indicators (KPIs) and operational targets.
  • Support the development and implementation of new policies and procedures related to operational processes.
  • Assist in ensuring all transport documentation is completed accurately, timely, and up to date.
  • Promote and support a positive, inclusive Food Safety culture within the team.
  • Assist the Site and Group Technical Department with transport department audits.
Requirements:
  • Good IT skills and competence using Word, Excel and Outlook.
  • Strong organisational and planning skills with attention to detail.
  • Excellent communication skills.
  • High standard of numeracy, accuracy with attention to detail.
  • Proven experience in transport, logistics, or fleet management.
  • Good understanding of vehicle maintenance schedules, MOTs, and tachograph regulations.
  • Knowledge of health and safety regulations related to transport and logistics.
  • Knowledge of food safety principles is desirable if relevant to the environment.
