- To assist, support, and supervise project works, enabling the operational team to maintain compliance throughout the project lifecycle. The role encompasses works across all Tate sites as required in London.
Aims and Objectives
- To ensure all projects comply with company health and safety procedures.
- Manage contractors undertaking installation and replacement works as required, supervising personnel and providing material lists for installation requirements.
- To ensure on-site quality assurance procedures are adhered to comprehensively and to maintain accurate records and documentation associated with all works.
- Participate in the permit-to-work system.
- To work across all Tate sites, liaising with customer representatives when required and organising resources to deliver works in accordance with programme requirements and customer expectations.
- Meet and exceed service level agreements and objectives as established.
- Develop effective working relationships with subcontractors to ensure their outputs are managed in accordance with business requirements and agreed key performance indicators and service level agreements.
- Procurement of labour, plant, materials, and subcontractor services for project delivery.
- The provision of technical support to the main service contract and additional works projects, including value enhancement to service delivery through industry innovation, engineering solutions, and engineering alternatives.
Key Responsibilities and Accountabilities
- Manage subcontractors throughout the tendering process and whilst working on site.
- Manage health and safety documentation in accordance with Dalkia regulations.
- Utilise Procure management software to conduct site audits and manage site diaries and workflows.
- Manage filing systems, including document input and recording.
- Manage and conduct daily, weekly, and monthly audits.
- Provide reports in relation to work and equipment as required, including completion of site records for newly executed works.
- To maintain stores systems, including asset tagging and information recording.
- Create and populate health and safety files and operation and maintenance manuals for handover.
- Produce quotations for additional works for submission to stakeholders.
- Demonstrate flexibility in approach to working hours, taking into account Tate business hours, public access, and customer completion dates.

Working Relationships
Internal
- To work collaboratively with other members of the facilities management and project team, maintaining close liaison with project managers and the administration team.
External
- Customer duty management staff, security, and general customer representatives to deliver first-class service; liaison and assistance with external specialist contractors as required.
Person Specification
Qualifications, Experience, Knowledge and Skills
The knowledge, skills, qualifications, and experience relevant to the position are:
Essential
- Electrical or mechanical experience and knowledge (desirable)
- Experience of writing and reviewing risk assessments, method statements, and health and safety documentation
- Experience of installation works in occupied buildings
- Experience using Procure management software
- Project and additional works experience in a facilities management workplace
- Previous experience in project support and supervisory roles
Desirable
- Health and Safety Training
- GCSE (or O Level equivalent) qualifications in Mathematics and English
- Procure experience
- IT literate, with experience in Excel, Word, and PowerPoint
