Legal Secretary – Property Casualty – London
Department: Global London Insurance – London Property Casualty
Location: London
Description: Working as part of a team, you will provide an excellent standard of secretarial support to the Property Casualty team. You will work both individually and as part of a team to act as a point of contact for lawyers and to ensure the effective completion of their work, undertaking a variety of secretarial tasks. Provide a high quality, comprehensive workflow management and organisational service to lawyers in the group and exceptional client service.
Key Responsibilities
- Client Relationship Management: keep up to date with client-specific protocols and processes, implement and train others where necessary, and monitor ongoing compliance.
- Administrative: handle outgoing correspondence (including electronic communications and encryption of documents) in line with client requirements; manage/understand external case management systems; prepare documentation for Counsel and experts; file and archive documents; maintain up-to-date client contact information; update document bundles; keep case files organised.
- Communication: act as a key point of contact for lawyers, monitor and respond to emails, forward client-related correspondence to appropriate lawyers, and draft responses as needed; liaise with colleagues and other departments; coordinate planned absences and arrange cover.
- Financial: assist with billing/e-billing tasks, update time allocations and disbursements, coordinate the WIP process, and handle matter-related finance administration including BACs and expenses.
- Customer Service: coordinate team meetings, keep service users updated on progress, and proactively offer assistance as needed.
- Firm-wide: operate within the international firm structure, manage risk and data security, and work to mitigate commercial risk. Maintain alignment with the firm’s values and brand.
- Skills, Knowledge and Expertise: prior experience in a legal or professional services environment; ability to manage multiple priorities; advanced Microsoft Office and document/case management system skills; excellent communication and client service mindset; high attention to detail; flexibility to discuss and participate in flexible working arrangements.
