Overview

Department: Global London Insurance – London Property Casualty

Location: London

Working as part of a team, you will provide an excellent standard of secretarial support to the Property Casualty team. You will act as a point of contact for lawyers, support the effective completion of their work, and undertake a variety of secretarial tasks. You will provide a high quality, comprehensive workflow management and organisational service to lawyers in the group and deliver exceptional client service.

Responsibilities

  • Client Relationship Management – keep up to date with client protocols and processes, implement and train others where necessary, and monitor ongoing compliance.
  • Administrative – manage outgoing correspondence (including electronic communications) and encrypt documents as required; maintain case management system records, bundles, and related documentation; prepare and enclose materials for Counsel and experts; manage email and file management; filing, scanning, archiving, and ensuring up-to-date client contact information.
  • Support with billing and accounts queries; assist with travel planning and client meetings; assist with ad-hoc business development activities (e.g., client contact reports, delegate packs); prepare correspondence from digital dictation as required.
  • Maintain case files in an organized and logical manner; assist with incoming billing and WIP processes; handle confidential information in line with data security protocols.
  • Communication – be the key point of contact for lawyers, monitor post and emails, draft responses on behalf of others, prioritise emails, and file appropriately; liaise with colleagues and other departments as requested by STL.
  • Coordinate with the STL on planned absences, arrange cover, and communicate arrangements to relevant lawyers.
  • Financial – assist with billing/e-billing tasks, manage time allocations and disbursements, coordinate WIP, and handle matter-related finance administration (BACs, TTs, expenses).
  • Customer Service – arrange and attend team meetings; update service users on progress; offer assistance to colleagues and stakeholders as needed.
  • Firm-wide – operate as part of the DAC Beachcroft team, aware of the international structure; manage risk and compliance, and work to mitigate commercial risk.

Skills, Knowledge and Expertise

  • Experience in a legal or professional services environment.
  • Aptitude for managing multiple priorities and producing high-quality client communications.
  • Advanced knowledge of Microsoft Office and document/case management systems.
  • Effective communication and exceptional customer service orientation; ability to manage client-facing tasks with a practical approach.
  • Conscientious, accountable for own work; excellent attention to detail and accuracy in client communications and deliverables.
  • Strong teamwork, adaptability, and a positive can-do attitude; willing to take on new responsibilities.
  • Confidential and discreet, with judgment to redirect information appropriately; well-organised and methodical.
